Large Format Poster Printing

To chop off the excess paper from smaller posters there is a guillotine available.

Please be aware that the staff providing the printing service are not dedicated to this task, and you are strongly advised to leave plenty of time between your print job submission and the required by date. The usual hours for the printing service are 10am-12pm and 2pm-4pm.

To ensure that you provide all the right details, and to make plotting your job easier, please use the provided system.

You can bring posters on memory sticks as a last resort , but the job submission form needs to be completed anyway.

The posters can be collected from Poynting Physics (R13), basement. Directions can be found here

The most straight forward access is through Physics West (R8). From the Physics West entrance opposite the clock tower, go down the stairs, then turn right, go down the corridor.

Important: If you send a native document format please make sure all pictures and fonts are embedded in the poster. (File > Options > Save >> Embed fonts in the file = ticked)

Paper sizes

  • A0 = 841 x 1189 mm
  • A1 = 594 x 841 mm
  • Arch E = 914 x 1219 mm (max printable width is 907mm)

Custom sizes: As long as the inked area and the paper length doesn’t exceed a standard size we will use the standard rate for that size. You need to put your custom size requirements in the comment section when submitting your poster. The maximum printable width is 907mm (on 917mm wide paper), the length will be as required, the paper is on a roll.

Multiple small pages printed on one large page: If you send one file with all the formatting already done then I’ll print it, for example 2 A1 posters on an A0 page. .

Application page size

You should always set your application's page size to the sizes above. If you use an application page size that is very small e.g. A4 and I have to enlarge it to fit your requested page size you may be disappointed with the print quality.

Plotter Hardware

The space research group purchased a large-format plotter in late 1998. The plotter can produce high quality posters.

The technical specifications of the plotter are as follows:

  • Hewlett Packard HP750C Plus E/A0 Colour Inkjet Plotter
  • 72Mb RAM with postscript option installed
  • 300dpi colour, 600dpi black
  • Paper handling upto 914mm width, 15.2 metres height

Quick Print Job Submission

Poster production guidelines.

This plotter is being offered for poster production, provided the guidelines below are followed. These guidelines are presented to reduce the time administering this service, and to increase the first-time success rate for output.

The plotter is usually run from a 30 metre roll of presentation-quality 'glossy' paper and the following page sizes are routinely supported. Please note that the roll is 36" wide, so A0 and A1 plots will have a wide border on one edge. An A0-sized guilotine is rumoured to be available in Physics near the photographer, but I do not have direct access to one.

Larger than Arch-E page sizes are supported on an ad-hoc basis only, and you should contact me to check pricing and availablity.

We do not have means to laminate the output from the plotter. Central printing services may be able to do this for you, or the school photographer has this facility for Physics and Astronomy posters upto A1 size.

We do not accept cash payments. If you want to plot a personal poster, please negotiate directly with the accounts office of your school. I will need an official university purchase order, or an email from the physics accounts office confirming payment.

You are STRONGLY advised to print preview your files on a machine other than the one you produced it on. This often shows up problems before you have an expensive waste of paper. If you are using PowerPoint - please use the 'Pack and Go' or 'Package for CD' feature.

The printer is capable of supporting HPGL/2 and RTL formats for poster data files, in addition to postscript format. I accept Microsoft PowerPoint, Postscript or PDF format files routinely. It is easier for me if you submit PDF or powerpoint files.

Data Delivery

Files for Architectural E/A0 sized plots tend to be anywhere upto 300 megabytes. Because of this, never submit a job to me as an e-mail attachment.

Files can be presented on cd-rom, memory-stick, or preferably by file-upload on the quick job submission system . If the form does not work, then use anonymous ftp to ftp://pc1.sr.bham.ac.uk/incoming/ and then email all the requisite information to me.

Windows Printer Drivers

A number of applications for Windows can directly export postscript data, and files produced this way should work. There are postscript producing printer drivers for the HP750C Plus printer. You can use this driver to produce valid output from any application which prints via the standard mechanism. Note that if you are using powerpoint, you can just submit the powerpoint file, and you do not need the HP750C driver.

Most platforms are moving towards using RTL, and I do not have any way to verify the contents of an RTL file currently. If you wish to supply an RTL format file, you do so at your own risk.

General Notes, Suggestions and Tips

I take no responsibility for checking your submitted jobs, though I usually run a quick sanity check for postscript & pdf files. It is assumed that you have checked the source file is valid, has appropriate margins and so on. Tools such as ghostview/ghostscript make this reasonably easy, and are available for both Unix and Windows machines.

You should take care to use high-resolution images in your posters. Scaling up low resolution images produces blocky output. A high-resolution University Crest is available, also as an EPS version .

The first line in a postscript file should be one of the following:

  • %!PS-Adobe-3.0
  • %!PS-Adobe-2.0
  • %!PS-Adobe-1.0

On unix machines, running 'head -1 filename.ps' will show you the first line of the file.

When using the Windows HP750C postscript printer driver, there will be a binary printer control string before this line. This is expected and is not usually a problem, provided you are using the correct printer driver as detailed above.

Encapsulated postscript files are generally NOT interpreted correctly by the plotter - load them into a tool such as xfig, StarOffice, Corel Draw or PowerPoint and produce a postscript file from there.

The postscript driver for Windows NT is just a PPD file. During installation, it may complain about a missing file. This can be safely worked around by creating an empty file, as it does not appear to be needed for printing.

Powerpoint files are printed 'Scaled to Fit' the requested page size. You should specify differently in the plot submission form if you do not want this to be done.

Finished jobs can be collected from the Design Office (LG27), West Building.

All pages printed out will be charged for. This includes incorrectly printed pages. Check your jobs carefully!

Tools for Unix

xfig GUI drawing tool producing postscript output. Can insert EPS files. We have had a number of problems with the postscript output from xfig though.
tgif Similar to xfig, though possibly easier to use. Does not handle GIF imports.
gs / gv / ggv / acroread Postscript viewers. A useful sanity check for the final output.
latex For those that like it. Has been used to produce eps files for Star Office successfully.
ps2epsi Converts postscript to encapsulated postscript. Caution - it does not do a very good job of removing Page: size data and although viewable in ghostview, the printer will not produce any output.
Open Office A free office suite capable of producing A0 postscript, and importing EPS files.
The GIMP A free image manipulation program. Useful for adjusting contrast, brightness and producing special effects and logos.

Tools for Windows

PowerPoint Page design software. There is a slightly dated by Kam L. Wan, which covers all the steps needed to produce a poster using PowerPoint.
CorelDraw Similar to PowerPoint, though more graphics oriented.
Ghostview for Windows / Adobe Acrobat Postscript/PDF viewer. A useful sanity checker for the final output.

Tools for Mac

Acrobat Producing PDF files on the Mac and then printing the PDF on a PC seems to be the most reliable way to ensure the output is compatible with the HP750C.

This is an introductory guide to referencing.  It contains basic information on a range of different referencing styles, and on reference software programmes supported at the University of Birmingham.  It draws substantially on content from the previous iCite Guide web pages from Libraries and Learning Resources. 

The recommended source for detailed information and worked examples is Cite Them Right Online  (Pears and Shields, 2023), developed from the long-running book Cite Them Right , currently in a 12th edition, by Pears and Shields (2022).

Reasons to be referencing

Referencing is an important academic skill as it shows the reader of your work the sources you have used to research your topic, and gives support and weight to your arguments and conclusions. When writing an essay or thesis, referring to the sources you have used is an academic requirement. There are four good reasons for referencing;

  •  To allow a reader of your work to find and check the sources you have used
  •  So that you can come back to your own work and know where you found a particular quotation or piece of information
  •  To avoid accusations of plagiarism
  •  To make you think twice about using outdated and inaccurate books, articles, or websites

As a general rule you should not put your trust in any resource which does not give references.

Cite Them Right

The University has adopted the Cite Them Right style of referencing. According to the co-authors, Graham Shields and Richard Pears (2023a):

Referencing is the process of acknowledging other people’s work when you have used it in your assignment or research. It allows the reader to locate your source material as quickly and easily as possible so that they can read these sources themselves and verify the validity of your arguments. Referencing provides the link between what you write and the evidence on which it is based.  You identify the sources that you have used by citing them in the text of your assignment (called citations or in-text citations) and referencing them at the end of your assignment (called the reference list or end-text citations). The reference list only includes the sources cited in your text. It is not the same thing as a bibliography, which uses the same referencing style, but also includes all material, for example background readings, used in the preparation of your work.

' Cite Them Right Online ' has an excellent Tutorial (Pears and Shields, 2023b) which you can sign up to as a member of the University.  This will cover all the main areas of referencing and give you a thorough grounding in the reasons for, and academic context of, referencing practice.  It is highly recommended, especially if you are newer to referencing or returning to studies.

In addition, the Academic Skills Centre has set up a self-enrol Canvas course ' Good Academic Practice ' which includes material on referencing.  This is open to University of Birmingham members with their usual login details.

Plagiarism is the act of using or copying someone else's work and pretending that you thought of it or created it. In order to avoid suspicion of plagiarism it is important to make appropriate use of references.

If you are in doubt about what plagiarism is and how to avoid it you should consult your tutor and read the University's code of practice on plagiarism (via the Student Conduct Office's plagiarism pages ), or you can look at our more detailed pages on plagiarism.

At present copyright law allows only small extracts of items to be copied legally provided that they are referenced properly. Only copy what is completely necessary, and only when the use falls into one or more of the following categories:

  • personal private study
  • non-commercial research
  • criticism and review
  • illustration for instruction
  • parody pastiche or caricature

The University provides important guidance to help you understand what plagiarism is, why it is unacceptable, and the penalties that can be incurred if you submit plagiarised work.

The library also provides guidance on how to reference correctly and how to use referencing software.

  • Be aware :  If you don't already know, check with your tutor which referencing style you are expected to use
  • Be positive : used properly, references strengthen your writing, demonstrating that you have spent time researching and digesting material and produced your own opinions and arguments
  • Be decisive : about the best way to cite your sources and how you balance your use of direct quotations, paraphrasing and summarising (read about these in the introductory basic sections of Cite Them Right Online)
  • Be organised : prepare well and keep a record of all potentially useful sources as you find them
  • Be prepared : read the suitable reference information before you begin your first assignment
  • Be consistent : once you have established the referencing style required, use it consistently throughout your pieces of work
  • Be patient : make time and take your time to ensure that your referencing is accurate
  • Be clear : clarify the type of source you are referencing and check Cite them Right Online for examples
  • Be thorough : check through your work and your references before you submit your assignment, ensuring that your citations all match with a full reference and vice versa

Bibliography

  • A list of all the sources you consulted for your work, including those you haven't cited, arranged in alphabetical order by author's surname or, when there is no author, by title. For web pages where no author or title is apparent, the URL of the web page would be useful.
  • The in-text reference that gives brief details (for example author, date, page number) of the source you are quoting from or referring to. This citation corresponds with the full details of the work (title, publisher and so on) given in your reference list or bibliography, so that the reader can identify and/or locate the work. End-text citations are more commonly known as references.

Common Knowledge

  • Facts that are generally known. For example, the fact that World War Two ended in 1945 is common knowledge and does not need to be referenced.

Digital Object identifier (doi)

  • A numbered tag used to identify individual digital (online) sources, such as journal articles and conference papers.

Direct quotation  

  • The actual words used by an author, in exactly the same order as in their original work, and with the original spelling.
  • The omission of words from speech or writing. A set of three dots (...) shows where the original words have been omitted.

End-text-citation

  • An entry in the reference list at the end of your work, which contains the full (bibliographical) details of information for the in-text citation.
  • (From the Latin et alii meaning 'and others'.) A term most commonly used (for example Harvard author-date system) for works having more than three authors. For example, (Jones et al., 2014).
  • Ibid is the term used to provide an endnote or footnote. The previous reference should be immediately visible, for example, within the same paragraph or page. Please note that ibid is not used in Harvard referencing.

In- text citation

  • Often know as simply the citation, this give brief details (for example author, date, page number) of your source of information within your text.
  • A restating of someone else's thoughts or ideas in your own words. You must always cite when paraphrasing.

Peer-Review

  • A process used in academic publishing to check the accuracy and quality of a work intended for publication. The author's draft of a book or article is sent by an editor (usually anonymously) to experts in the subject, who suggest amendments or corrections. This process is seen as a guarantee of academic quality and is a major distinction between traditional forms of publishing, such as books and journals, and information in web pages, which can be written by anyone, even if they have no expertise in a subject.
  • Taking and using another person's thoughts, writings or inventions as your own without acknowledging or citing the source of the ideas and expressions. In the case of copyrighted material, plagiarism is illegal.

Proper noun

  • The name of an individual person, place or organisation, having an initial capital letter.
  • The words or sentences from another information source used within your text.
  • The full publication details of the work cited.

Reference list

  • A list of references at the end of your assignment that includes the full information for your citations so that the reader can easily identify and retrieve each work (journal articles, books, web pages and so on).

Secondary referencing

  • Citing/referencing a work that has been mentioned or quoted in the work you are reading. You may wish to refer to an author's idea, model or dataset but have not been able to read the actual chapter containing the information, but only another author's discussion or report of it. Similarly you may refer to a primary source, e.g. an author's letters or diary, or a government report, that you have only 'read' as cited or reproduced within an author's text. This is known as secondary referencing because you have not actually read the source, but only someone else's account of it.
  • (From the Latin meaning 'so, thus'.) A term used after a quoted or copied word to show that the original word has been written exactly as it appears in the original text, and usually highlights an error or misspelling of the word.
  • Similar to paraphrasing, summarising provides a brief account of someone else's ideas or work, covering only the main points and leaving out the details.
  • The abbreviation for Uniform (or Universal) Resource Locator, the address of documents and other information sources on the internet (for example http://...).

Virtual learning environment (VLE)

  • An online teaching environment (also known as online learning environment- OLE) that allows interaction between tutors and students, and the storage of course documents and teaching materials.
