How to write a cover letter for surveys, the four levels of customer service.

Surveys can provide vital information to a business owner, providing insights that customers may be hesitant to share face-to-face. If you’ve taken the time to craft a customer survey, you’ll want to take a bit more time to write a cover letter encouraging your customers to complete it. Keep your letter short and to the point; after all, you want your customers to spend most of their time completing the survey. Above all, underscore the value of their feedback and your appreciation of their time.

Address the recipient in the salutation just as you would if you were greeting her at your place of business. Use “Dear Ms. XX” or “Dear Nancy” rather than the impersonal “Dear Valued Customer.” Addressing each letter by name takes more time, but it will make your customer feel more genuinely valued.

Open your letter on a friendly note that states your purpose in writing: “As a respected customer of (name your business), you could help guide my efforts to serve you better by taking a few minutes to complete the enclosed customer survey.”

Explain why the survey is important to you and why the customer is being asked to participate. Writers and marketers often refer to this statement as an emotional appeal because it should prompt the customer to respond in kind to your request. You might say, for example, “We at (name your business) work hard every day to provide superior (name the products or services). But we rely on the honest opinions and ideas of customers like you to tell us how we can improve. It is in this spirit that we hope you will assist our best intentions by completing the survey.”

Direct the customer’s attention to the survey, how long it should take to complete and how it should be returned to you. To encourage participation, enclose a stamped, self-addressed envelope.

Refer to any special premium or small gift you may be offering as a thank you for completing the survey. You also may encourage the customer to bring in the letter or the envelope – which should contain a tracking code – so that you can validate that the survey was indeed completed.

Close the letter by expressing your gratitude for the customer’s time and “good ideas.” Then thank her for her continued loyalty to your business, perhaps by saying that you will continue to “work hard to meet and exceed’’ her expectations.

End your letter with a formal closing, such as “Sincerely,” rather than the more informal “Best regards.” Sign your full name above your typed name and title.

Proofread and edit your letter before sending it.

  • As with all marketing efforts, be sure to track the response to your survey by putting a special code on the mailing envelope or the letter.

Cover letters

Your cover letter answers the employer’s question, “How does this candidate meet my needs?” A concise, focused letter of 3-4 short paragraphs demonstrates your ability to clearly and specifically communicate in writing. It also gives you the opportunity to show that you’ve done your homework. You can state why you want the position, how you fit with the organization’s culture and how your passion or goals work to the employer’s benefit. As with your resume, it is critical for your letter to be error-free.

How to Structure Your Letter

In addition to researching the organization, the job description is your key to writing a convincing letter. Begin by underlining or highlighting the skills, experience, and characteristics the employer is seeking and then use your letter to prove that you have those things. The middle paragraph(s) of your letter should be organized by the 2-3 most related, valuable skills you can offer. Resist the common mistake of talking all about your story without relating to their needs. Likewise, rather than stating what you hope to learn, talk about how your enthusiasm to learn will benefit them.

The Difference Between Confidence and Arrogance

Avoid using strong words (“I’m a perfect fit”) or referring to skill sets (“my excellent analytical skills”) without backing them up with specific examples. Here is where you can expand on your resume to describe how a past experience has directly prepared you for something specific that is listed in the job description.

It may not be meaningful if you simply state you are great at something. On the other hand, if you outline a situation where you used specific, desired skills with great results you’ll be able to relay your abilities in a confident yet objective way that demonstrates what you have to offer. This is what people mean when they say “show, don’t tell.”

The Importance of Tailoring

It will be blatantly obvious to employers if you try to use a general cover letter with only minor tweaks. Your research, initiative, and knowledge about the position and organization will make you stand out. For example, if you’re applying to work in a research lab, read and reference articles about the work in your letter to show that you’re following progress in the field. Make the most of referrals and connections by naming the person who referred you or any previous encounters you’ve made with the recipient or his/her colleagues. The familiar name will grab the reader’s attention.

The press has questions for Vice President Kamala Harris. She isn’t giving a whole lot of answers.

In the nearly three weeks since President Biden withdrew his candidacy, catapulting Ms. Harris to the top of the Democratic ticket, the vice president has shown little eagerness to meet journalists in unscripted settings. She has not granted an interview or held a news conference. On Thursday, after a rally in Michigan, she held her first “gaggle” — an impromptu Q.-and-A. session — with reporters covering her campaign.

It lasted 70 seconds.

Ms. Harris replaced a Democratic nominee who has hosted fewer White House news conferences than any president since Ronald Reagan. Now she is taking a similarly cautious approach, relying on televised rallies and prepared statements amid a tightly controlled rollout of her candidacy.

Asked on Thursday if she might sit for an interview anytime soon, Ms. Harris suggested that she would get through the convention first. “I want us to get an interview scheduled before the end of the month,” she said, as aides signaled to the scrum of journalists that question time was over.

Ms. Harris’s lack of engagement with the media has become a constant rallying cry on the political right, with Republican critics and Fox News stars accusing the vice president of ducking scrutiny. The Harris campaign says it is being thoughtful about how best to deploy its message, and to introduce a new candidate to crucial voters in battleground states.

David Axelrod, the architect of former President Barack Obama’s winning campaigns, believes that Ms. Harris — who on Thursday said she had agreed to a prime-time debate on Sept. 10 with her opponent, former President Donald J. Trump — was trying to strike a balance.
