Building a computer lab takes time and effort, but is not very difficult once you have everything in one place. With a little work, you can build a low-cost computer lab out of old donated computers. Once you have determined the ideal arrangement of your computer lab, building the lab is just a matter of setting everything up.

Designing the Lab Space

Step 1 Identify the room for the computer lab.

  • Rooms that are square or rectangular will work better than rooms that have sharp angles or strange shapes.

Step 2 Determine the needs of the computer lab.

  • The needs of your lab will help you identify the type of equipment that you will need to provide.
  • You will also need to consider the purchase of printers, scanners, projectors, and internet modems/wireless routers. At least one printer and internet access are two essential items for the lab.

Step 3 Identify how many computers are needed.

  • If you want users to have access to higher-end computers, but have a limited budget, consider getting a small number of advanced computers and a larger number of mid-range computers.

Step 4 Evaluate furniture needs and options.

  • Chairs with adjustable heights are the best option for a computer lab so that all users can be comfortable while working.
  • The top of the computer screen should be about level with the user’s eyes.

Step 5 Choose a seating layout.

  • Theatre style: This consists of rows of computers all facing one wall. It is good for teaching, but not good for student interaction or collaboration.
  • Up against the wall: All computers are facing the wall of the room. Good for seeing what everyone is doing on their screen and students have to turn away from computers to face you while giving instructions. Not an efficient use of space.
  • Rounds: Grouping computers together in round tables of four each. This configuration is great for group work and collaboration, but not good for teaching.
  • U-shape: Computers are arranged in a U-shape with everyone facing towards the center. It’s easy to see and hear everyone in this configuration, but it requires more space.

Step 6 Identify available power sources.

  • A power strip is not the same as a surge protector. Power strips just increase the number of available outlets, but do not protect against power spikes.
  • You may need to use extension cords attached to surge protectors to get every computer plugged in. This may also affect the layout of your computer lab.
  • Keep in mind the presence of all of the wires and possible trip hazards when thinking about the layout of the computer lab.

Obtaining the Computers

Step 1 Call local businesses for donations.

  • To encourage donations, let companies know that they can use their contribution as a tax deduction.

Step 2 Ask friends and family for old computers.

  • Your friends will probably be happy to get rid of those old computers.

Step 3 Purchase new computers.

  • Shop around a few different places to get the best deal.
  • Remember to get a compatible keyboard, mouse, and monitor for each computer.

Step 4 Reset old computers to factory settings.

  • Resetting the computers will depend on the type of computer you have. A quick online search of the computer should yield the proper procedure.

Step 5 Choose an operating system to use.

By now you should have planned and designed the current and future requirements for the server room.

Common server rooms have raised floors, a Computer Room A/C (CRAC) Unit, return plenums back to the CRAC unit, and cable trays along the ceiling. Not to mention electrical runs under the floor tiles of either 110v or 220v(208v).

How To Design And Build A Computer Lab Step By Step

So now you have a fresh clean computer lab space, servers ready to install, racks, network gear, and cables galore.  Let’s get started.

Hot Aisle, Cold Aisle :

You can imagine cold air coming from the CRAC unit under the floor, up through those perforated tiles. The servers will pull in that cold air and exhaust heated air out the back, which will go up into the plenum or ceiling to be returned back to the CRAC unit.

Server Rack Space :

Network design:.

Namely, this point is either a lab router or main switch. The connection from the main switch or router will connect back to the site’s network gear, which should be handled by the site’s personnel.

TIP: When cabling behind the server racks, keep the network cabling as clean and neat as possible. It is all too easy to let this get away from you and become a big clump of a mess.  It will provide better airflow but also won’t become a headache in the future when you need to track down an individual cable.

Head of the School / School Coordinator:

  • Increases management’s effectiveness by recruiting, selecting, orienting, training, coaching, counseling, and disciplining managers; communicating values, strategies, and objectives; assigning accountabilities; planning, monitoring, and appraising job results; developing incentives; developing a climate for offering information and opinions.
  • Creating, communicating, and implementing the organization’s vision, mission, and overall direction – i.e. leading the development and implementation of the overall organization’s strategy.

You may want to do a comparison of your business plan against those of other competitors in the area, or even with online reviews. This way, you can find out what people like about them and what they don’t like, so that you can either improve upon their offerings or avoid doing so altogether.

3. Build a Creative Marketing Stratgey.

If you don't have a marketing plan for your computer business, it's time to write one. Your marketing plan should be part of your business plan and be a roadmap to your goals.

  • What specific advantages does each competitor offer over yours currently?

Marketing channels

  • Which marketing channel do you intend to leverage to attract new customers?
  • What is your estimated marketing budget needed?
  • What is the projected cost to acquire a new customer?
  • How many of your customers do you instead will return?

4. Write Your Operational Plan.

Next, you'll need to build your operational plan. This section describes the type of business you'll be running, and includes the steps involved in your operations. 

In it, you should list:

  • The equipment and facilities needed
  • Who will be involved in the business (employees, contractors)
  • Financial requirements for each step
  • Milestones & KPIs
  • Location of your business
  • Zoning & permits required for the business

Many labs start out as entrepreneurial ventures to develop new technology. As such, a start-up lab has entrepreneurial requirements that must be met in order for it to successfully develop into a full-fledged business.

Below are some of the entrepreneurial requirements of a start-up lab.

Starting your lab begins with a business plan that includes, in this order, an executive summary, a company description, a market analysis, an organization and management section, a service or product line section, and a funding request section.

The executive summary is the most important section of a business plan, as it spells out your experience and background as well as the decisions that led you to want to start your business. The executive summary also spells out why your business idea will be successful. If you are seeking financing, the executive summary is also your first opportunity to grab a potential investor’s interest.

The executive summary should highlight the strengths of your overall business plan and demonstrate that you have done thorough market analysis. It should include information about a need or gap in your target market and how your particular technology solutions can fill it. The executive summary should convince the reader that you can succeed in your target market. Although the executive summary appears first in the business plan, it is the last section of the business plan that you write.

The company description section provides a high-level review of the different elements of your business. This is similar to an extended elevator pitch and can help readers and potential investors quickly understand the goal of your business and its unique proposition. The company description section includes a description of the nature of your business and explains the competitive advantages that you believe will make your business a success.

The market analysis section should highlight your industry and market knowledge as well as any of your research findings and conclusions. It should include a description of your industry, including its current size and historic growth rate as well as other trends and characteristics, such as life-cycle stage and projected growth rate. It should also include information about the target market, its distinguishing characteristics, size of the primary target market and your projected share of it, a competitive analysis, and any regulatory or governmental regulatory requirements that will affect your business.

The organization and management section should include your company’s legal and organizational structure, management profile, and the qualifications of your board of directors. The service or product line section includes a description of your product or service, details about your product’s life cycle, status of your intellectual property protection, and current or future R&D activities.

The marketing and sales management section includes your overall marketing and sales strategy—namely your strategies for market penetration, growth, channels of distribution, and communication.

The funding request section of the business plan should include your current funding requirements and any future funding requirements over the next five years, supported by historical and prospective financial information. The funding request section should also include an analysis of the prospective use of the requested funds.

Setting up the business structure

Whether the business structure of your start-up lab is a sole proprietorship, a limited liability company (LLC), a corporation (C or S), or a partnership, it will have long- and short-term legal and tax implications that must be considered. It is advisable to seek legal and tax advice before adopting the final business structure.

Financing the lab

Many entrepreneurs “seed” the start-up lab from their personal resources or the resources of friends and family. This seed funding will pay for lab rent, setting up the lab, employee and consultant salaries, administrative overhead, and other expenses such as insurance, legal, and accounting fees.

Selecting the lab space

There are many available options to establish the physical location of the start-up lab. These include leasing a lab space in a commercial location or in an incubator facility. Traditionally, it is more costly for the start-up lab to lease commercial space with existing lab facilities than it is to establish a lab in an incubator facility.

Many states make available dedicated incubator facilities with wet labs to assist with commercializing critical technologies and to create jobs to strengthen local economies. In the state of New Jersey, the incubation facilities at the Commercialization Center for Innovative Technologies (CCIT) offer life sciences and pharma biotech start-ups plug-in-ready wet and dry laboratory modules with hoods and sinks; office space, including offices and suites; conference rooms; and shared bathroom and eating areas.

There are certain requirements that the start-up lab must meet to avail itself of the CCIT incubation facilities. The start-up lab must make an application to the CCIT Advisory Board, which reviews the business plan and the sources of funding that are available for a period of one year. It is worthy to note that one characteristic of the CCIT is that lab start-ups can stay a maximum of five years; then they “graduate” and move into a commercial lab space. Certain incubators have no term limits.

After securing the lab space, whether it is in an incubator or a commercial facility, the next step is to secure office and lab equipment, whether new or used. New office and lab equipment is available on the open market, and used office and lab equipment may be purchased at large pharma auctions or from online surplus asset sales channels such as GoIndustry DoveBid , which cater to the biotech, life sciences, and pharmaceutical industries.

It is also worthy to note that labs may avail themselves of start-up discounts offered by certain vendors such as Fisher Scientific, Staples, and UPS. In the state of New Jersey, such discounts are available through membership in the Biotechnology Council of New Jersey (BioNJ).

Hiring personnel

An entrepreneur should become aware of employment and labor laws for hiring employees and consultants in order to ensure compliance. These employment and labor laws may include offering employee benefits, writing effective job descriptions, or providing communication tools such as employee handbooks.

Employees and consultants are generally available through the usual channels, or through talent acquisition resources. BioNJ offers resources for talent acquisition such as networking on LinkedIn and talent networking events.

Operating the lab

Once your lab is set up, the next step is operating and managing the lab to ensure continued growth and success. Start-up labs at the operational and management stages have certain entrepreneurial requirements.

Management support

Management support is a broad concept and includes having a team of advisors or service providers available to manage business, finance, accounting, legal, insurance, and human resources functions. In the initial stages, labs might hire outside contractors or consultants to meet these functions, and as they grow, they may hire dedicated staff. Labs located in incubator facilities may have access to shared business management services to support their day-to-day activities.

Another form of management support is networking a resident entrepreneur with colleagues at the other start-up labs leasing space in the incubator.

In many states, experts in business development, product development, customer validation, marketing, corporate structure, strategy, and funding are made available to start-up labs by state organizations. It is worth noting that CCIT offers a new program targeting life science executives in transition to serve as advisors to the tenants of the incubator.

If a start-up lab qualifies as a minority-owned business, the Small Business Administration (SBA) offers a business development program to help qualifying minority-owned firms develop and grow their businesses through one-to-one counseling, training workshops, and management and technical guidance. The program also provides access to government contracting opportunities, allowing these businesses to become solid competitors in the federal marketplace.

As the lab grows and expands, the entrepreneur must continue to find funding. Incubator facilities run their own programs and provide opportunities for resident entrepreneurs to display their technology to funding sources. Funding sources include one or more angel investors or a venture capital fund. An example of a venture capital fund is Apple Tree Partners , which invests in pharmaceuticals, biotech, medical technologies, and healthcare services.

Government grants provide funding under certain conditions. The SBA offers research grants for small businesses engaged in R&D under the Small Business Innovation Research (SBIR) and the Small Business Technology Transfer (STTR) programs. SBIR and STTR programs encourage small businesses to undertake R&D projects that meet federal R&D objectives and have high potential for commercialization.

The SBA also offers loan options to small businesses that meet certain criteria. The SBA loan options include guaranteed loan programs, surety bonds, and equity financing.

Guaranteed loan programs and debt financing are not directly made by the SBA but by its partners (lenders, community development organizations, and micro lending institutions). The SBA guarantees repayment of the loans, thus eliminating some of the risk to the lending partners. SBA-guaranteed loans are not available to a small business if the borrower has access to other financing on reasonable terms.

Surety bonds target small-business contractors that cannot obtain surety bonds through regular commercial channels. The SBA makes an agreement with a surety guaranteeing that the SBA will assume a percentage of loss in the event the contractor breaches the terms of the contract. The SBA’s guarantee gives sureties an incentive to provide bonding for eligible contractors, thereby strengthening a contractor’s ability to obtain bonding and greater access to contracting opportunities for small businesses.

Equity financing is available through the SBA’s Small Business Investment Company (SBIC) program. The SBA does not invest directly in small businesses but relies instead on the expertise of qualified private investment funds. The SBA licenses these funds as SBICs and supplements the capital companies raise from private investors with access to low-cost, government-guaranteed debt.

If its entrepreneurial requirements are met, a start-up lab may grow into a full-fledged business. “A start-up lab can remain [totally] virtual or [partially] virtual, or it can set up as a fully diversified company,” says James Sharpe, biotechnology entrepreneur and CEO of several biotech start-ups. “It all depends on the business model a start-up lab chooses to adopt.”

Virtual companies may have only a few key employees and use contract services to accomplish their tasks, while partially virtual companies may have a core management and research team and may contract out their more complex functions such as clinical trials and manufacturing.

“The start-up labs that choose to become fully diversified companies must build substantial expertise in many disciplines in order to succeed, and this takes a significant amount of time and resources, things that are generally in short supply in the start-up world,” says Sharpe. “Hence, the virtual and partially virtual models, which offer an alternative for efficient use of resources while accomplishing key milestones, have gained favor in the past ten years.”

Computer Lab Design Considerations

OIT is often asked for advice by departments planning a computing facility. This document outlines the considerations that should be made when planning such a facility.

Influencing Factors

Purpose - The purpose of a computing facility will greatly impact most design aspects including room layout, computer hardware, printing systems, projection/presentation systems, etc. Consider what the primary use of this facility will be:

  • Open computer use - students come and go to use the computers for assignments or projects
  • Instructional computing facility - facility is used for instruction lead by a single person
  • Collaborative work - facility is used by students in a group project setting
  • Laboratory work - computers are used for data collection or in a laboratory setting

Specific application - The greatest influence on the computer hardware itself is the intended application and operating system. These will drive the need for more powerful computers, larger monitors, specific printing needs, and other technical decisions.

Budget - If everyone could afford to build the perfect lab they would, but there are always budget limitations. Find the limits and project priorities (these priorities should be influenced by the above factors) and decide on trade-offs. Is new furniture sacrificed for more powerful computers? Is advanced printing left behind in favor of a projection system?

Staffing/Maintenance - A computing facility requires staffing to install, configure, and maintain hardware and software. The size, complexity, and purpose of a computing facility will determine the staffing needs. The lack of proper staffing and maintenance may limit the availability or usefulness of a facility.

Aspects for consideration

Special note - For all of the following hardware items, one should consider the reliability, serviceability, and warranty of the specific items. This can greatly impact the maintenance costs and headaches down the road. We recommend at least a three-year warranty on all computer hardware if available.

Workstation hardware - This central aspect of the facility is influenced by all of the previously mentioned factors. Consider the needs in the following areas

  • CPU - What level of processing power is required by the applications?
  • Memory - What amount of RAM is required by the applications?
  • Primary storage space - How much storage space is required to install the local applications? Will users be storing documents on the local machines? Do applications require a great deal of swap space?
  • Networking - generally only a 10/100 Ethernet card is required
  • Audio - Sound card, speakers, headphones, microphones
  • Video - Video card speed and memory
  • Secondary storage - CD, CD-R, DVD, Zip, etc.
  • Input - Keyboard and mouse variations
  • Monitor - Is a large monitor needed for graphics or engineering work?
  • Form factor - Is a small computer required due to furniture or space limitations? Is a small form factor monitor required for students to see the instructor or each other?

Server hardware - Most computing facilities rely on a server for application serving, print serving, or storage. This hardware can vary greatly depending on the specific use of the server.

Networking - Networking is a core component of computing facilities; it allows access to Internet resources, access to email, and the ability to collaborate remotely. Potential networking costs include installation/activation of Ethernet jacks (B-jacks), monthly B-jack fees, hubs/switches for networking within the room (not needed if each computer has a B-jack), and cabling. Networking may represent a good portion of the cost of the facility.

Printing - Most computing facilities require some form of printing to be available. For most applications this simply means the ability to print black and white text documents, but there are a variety of printing needs. Another consideration is the quantity of printing expected in the facility. This greatly influences the specific model of printer within a type of printer. The following are the most popular forms of printing in campus computing facilities:

  • Black and white laser printing
  • Color printing (laser or inkjet)

Other peripherals - The purpose and specific application of a facility may require additional hardware not in a traditional computing lab. These are some common peripherals used in special applications:

  • Special storage (CD-R, Jaz, DVD-R, etc.)
  • Special input (tablets, mapping, data acquisition, etc.)

Audio/Video systems (projector, sound, etc.) -  Many computing facilities, especially instructional ones, benefit from the ability to display information for the entire room. This may include the ability to project computer screens, project television/video tapes/DVDs, play audio tapes/CDs, and amplify input from microphones. More advanced systems even allow instructors to project any of the workstation screens to a projector or to other computer screens on the fly.

Upgrade path - Any computer hardware and software will eventually have to be replaced as it becomes obsolete. Computing facilities should have an upgrade plan and budget for both hardware and software. In general, ITS uses a three-year replacement cycle for hardware in computing facilities. Software is replaced more frequently, usually as new, more useful, versions are released. Budgeting for new software is difficult due to the unpredictable nature of software development, but plan on spending about a third of your original software costs each year in upgrades.

Furniture - The purpose of a facility is the strongest influence on the furniture and layout of the facility. An open computer lab may simply be rows of computers on basic tables. An instructional facility may have rows all facing the front of the room for instruction. A collaborative facility may have single computers (or groups of computers) at large tables designed to seat many students. At least one workstation in each facility should be placed on an adjustable height table for accessibility by people using wheelchairs. In an instructional facility, the instructorÕs workstation should also be placed on an adjustable height table.

Accessibility - In addition to placing accessible tables in the lab (see the above section on furtiture), one should also consider the accessibility of the computer applications (using special input/output hardware or software), other systems (printing, A/V equipment, etc.), and the accessibility of the room layout. Power - Often the existing power circuit(s) in a room are not sufficient for a computing facility. Examine your power needs and resources, and contact facilities management regarding power system upgrades.

I love using social media templates for computer lab projects because I know they are a great way to get my students thinking creatively while working on writing skills at the same time.

I love using brochure projects in my classroom! They are an easy and creative way for students to show their learning. When I can engage my student’s imaginations, I know I will have buy in! They will give me their best effort!

My students have created brochures to show off their learning after a health unit, an All About Me unit, and geography units. The sky is the limit with these fun brochure templates.

To get my students even more excited, I encourage some role-playing. When it’s time to show off the brochures, I give my students the option to dress up in character and share their brochures as they “teach” about what they have learned.

Weekly Tech Lab Lesson Plans

My goal with this is to free you up to take care of the other important things in your tech teacher life. Don't let your lesson plans stress you out!

The I Can Statements are just one that works for that lesson for the week. I usually display a few for each grade level so that students can see the big picture of what they are learning. I wrote a blog post about Tech I Can Statements here if you’d like to take a look.

The Warm Up activities are a mix of Tech Themed Read Aloud Books (amazon affiliate links), Tech Themed eBooks , demos of the lesson, whole group interactive whiteboard games, review of a previous concept, and typing practice for the older students.

The Main Activities come from my resources, including many weeks of my elementary technology curriculum. With over 900 digital resources now, these lesson plans pull from all of my resources, not any one series or bundle. I did this to show how it is possible to mix and match everything. Feel free to use what you like and leave what doesn’t work for you. Every resource is linked in the pictures down the right side.

The Early Finishers activities are great learning game websites, reading through the classroom library picture books, some offline printable tech activities, and finishing work from previous weeks.

The Back Up plans are an offline option for when the tech doesn’t cooperate. I suggest many tech board games, robots, and printable activities that are great to have on hand for situations like this. The back up plan doesn’t cover the same standards as that week’s lesson always so if you need to use one, make sure to move around your planned lessons to fit that standard in another time. Step 1: Determine your goals

Before starting, define the purpose of your computer lab. Are there specific applications or educational programs you want the lab to support? Understanding your goals can help guide your subsequent decisions.

Step 2: Assess available space

Estimate the amount of space available for the lab, considering factors like room dimensions, accessibility, and ventilation. This information will help you decide on the number and size of workstations to accommodate.

Step 3: Plan a layout

Sketch out a room layout that maximizes the use of available space while promoting efficient workstation arrangements. Consider creating spaces for collaboration, individual work, and storage.

Step 4: Choose hardware

Investigate which computers best meet your lab’s needs, keeping in mind variables such as processing power, storage capacity, and ease of maintenance. In many cases, purchasing slightly older models can save costs without compromising functionality.

Step 5: Plan for peripherals

Identify necessary peripherals such as monitors, keyboards, mice, and printers. Ensure compatibility between chosen computers and these peripherals.

Step 6: Select networking components

Choose networking equipment – routers, switches, cables – that reliably connects all computers to the internet and enables seamless communication between devices.

Step 7: Find furniture

Purchase appropriate furniture for housing computers and peripherals. Desks or tables should be sturdy and have sufficient surface area for computer equipment. Chairs should be comfortable and adjustable to promote good posture.

Step 8: Plan power sources

Evaluate your computer lab’s electrical requirements and ensure there are enough outlets available to meet demand while minimizing cable clutter. Use surge protectors to safeguard

Step 9: Order technology

Once all decisions have been made regarding hardware, peripherals, networking components, furniture, and power supplies; place orders with reputable suppliers offering competitive pricing.

Step 10: Prepare the room

Paint walls, install flooring, and arrange furniture according to your lab’s layout. Ensure the space is clean, well-lit, and ready for technology installation.

Step 11: Set up technology

Install computers, peripherals, and networking equipment, carefully following the manufacturer’s instructions. Enlist professional help if necessary.

Step 12: Install software

Load all required software programs onto each computer, setting up user accounts and ensuring compatibility. Install antivirus software to protect lab computers from threats.

Step 13: Establish network policies

Implement network security measures to safeguard user information and prevent unauthorized access. Define acceptable use policies for lab users, covering topics such as data storage and internet usage.

Step 14: Train staff

Educate staff members responsible for maintaining and supporting the computer lab. Provide sufficient training in troubleshooting common issues, updating software, and managing user accounts.

Step 15: Announce opening

Publicize your computer lab’s opening with announcements on school or organization websites, bulletin boards, and social media. Remember to communicate hours of availability and any specific usage guidelines.

Manage Your Computer Lab Like A Boss! Classroom Management for Technology Teachers

When setting up your lab, it’s extremely helpful to number each computer. Numbering the machines not only gives students a visual for where their seat is, gives them a sense of ownership of their space and device. Keeping a log of which computers are used by each student is a great tool for accountability too.

At the start of the year, assign the computer number to match the student’s class roster number. Of course that always changes a bit as you move students around for various reasons. Depending on behavior, special needs, or students with less computer experience, you may wish to pair them with a responsible or more tech savvy student. It usually takes a few days or visits to the lab to work out an appropriate seating arrangement for a new class.

Use Displays For Rules, Procedures, and Reference Charts

Keep interruptions while teaching, and repeating directions to a minimum with lab rules , procedures, and reference charts displayed where students can easily see them.

More than likely, your school or district has a procedure for submitting a support ticket when you have issues. Once the tech support person arrives to your lab, however, they can get straight to it if you have a few simple communication tools in place.

Set Up A System For Device Check Outs

Many schools check out laptops, iPads, and Chromebooks to students to use during the year. Keeping track of devices is key with any computer lab management system you use. Create a log of students and the devices they’ve checked out and when they are returned.

Computer Lab Management with Students

Teach, practice, and repeat rules and procedures.

It is just as important to have structure in the computer lab as it is in your classroom. Computers and other devices can quickly become distractions without it. Define and display your lab rules and procedures from day 1 and stick to them.

Develop procedures for entering and exiting the room, voice levels, using the restroom, what students should do if they finish early, and off task behavior rules and consequences. Determine what students should bring to the lab, procedures for tidying up their space before leaving, printing, what to do if they are having trouble and whether or not students can leave their seats.

Set Up A System For Managing Behavior

Just like in the regular classroom, behavior management is key. Have a plan in place to manage student behavior that is off task or disruptive as well as to acknowledge exceptional behavior, focus, and work. I use a fun system where students can earn “behavior bitcoin”. Bitcoin is digital currency that is perfect for 21st century kids to earn in the computer lab!

I teach a mini lesson explaining bitcoin , it’s purpose, and how it is used while introducing the behavior system. Extra time on an approved website, computer time in the classroom, being the line leader for a length of time, carrying in the headphones basket etc. are some of the options I give students.

I also give out computer lab compliment cards and for students in keyboarding class these fun “Keyboarding King and Queen” cards.

Assign Headphones To Each Student

Some schools provide inexpensive headphones for students to use in the lab. Place headphones in numbered Zip Lock bags that match the student roster.  I label them with my name as well, just in case they get left in the lab.

Have 2 students carry the headphone baskets to the lab and place them on desks in the lab. When students enter the lab, they take their headphones before going to their sear. Before we leave, I call each table to return their headphones into the correct basket before lining up.

Give Directions Before Students Go Into the Lab

It’s much more effective to give directions before going to the lab than when students are sitting in front of their computers. This way, you’re not competing for their attention as they  turn on their computer and begin to login. If you have a projection system in your classroom, it’s a good idea to show students how to get to the website, login, and model or explain what their task will be.

Display Websites and Passwords Clearly

Write the website and password on the whiteboard so students can see it from anywhere in the room. You may even want to write the tasks they will be completing once on the site. Displaying the websites and passwords makes for a smoother transition. Students can login at their own pace and begin working right away. Since you’ve already given directions, they know what to do once they are logged in.

For classroom computers that we use during math and reading centers, I use these editable forms to display the website and tasks.

Make Each Student a Login Card

One tricky area of computer lab management, especially for younger students, can be logging in to their device. Use a student login card for managing passwords and helping students get logged in quickly. Most schools require students to first login to their personal account on school computers. Students then need to know additional passwords for the various sites they use in class as well as testing and assessment sites. This can add up to a lot for students to remember.

Make the most of their time by using editable login cards with all of the passwords students use on a regular basis.  Using login cards saves a lot of time and makes it quick and easy for students to get in to the site they need to use.

Teach Students How to Trouble Shoot

Teach students how to troubleshoot common issue they may encounter during the first weeks of school. Give students solutions to try first the computer freezing, difficulty logging in, and how to check for user errors.  Making sure the cap lock is not on, programs not opening, and the mouse or speakers not working are also common issues that students may have. Create a trouble shooting list students can use to try to solve problems first before you call your support team.

Key Components of Starting a Medical Laboratory Business

One of the first steps you need to take to transform your ideas for a lab business into a functioning laboratory is to create a business plan. A business plan details your business’s objectives and how it will achieve its goals. Your business plan will help keep executive members focused on what’s good for the company and can help your business attract investments from external interests.

The document provides relevant marketing, financial, and operational information that explains how the business plans to achieve its goals. And just as your business changes and adapts, you will need to periodically revisit and revise your business plan to keep it current. Understand these key components of any successful laboratory business plan:

1. Executive Summary

Your executive summary should include the following:

  • The mission statement: a short statement, either a single sentence or short paragraph, that describes the company’s purpose of existence.
  • The business opportunity : describe the need or opportunity the market presents and how your business meets the need or opportunity.
  • The target market: the customer base you’re targeting. You can define your target market by checking out the competition, analyzing your products and services, and choosing specific demographics to serve.
  • The products and services: describe what your business offers and how these products and services appeal to your target market.
  • The marketing and sales strategy: briefly outline your plans for marketing your products and services. How will you generate interest in your laboratory and convert that interest into actual sales?
  • The competition: What businesses do you compete with? Why will customers choose to use your business rather than your competitors’?
  • Financial analysis: summarize the financial plan, including projections for at least the next three years. These projected statements are often called pro-forma financial statements, or simply pro-formas. They include the overall budget, current and projected financing needs, a market analysis, and the company’s marketing strategy.
  • Owners and staff : describe the owners, key staff members, and their relevant expertise.
  • Implementation plan: outline the steps and schedule for taking your business from the planning stage to a functioning laboratory.

The executive summary provides a lot of information, but remember to keep it short—no more than two pages long. One of the easiest ways to write the summary is to complete sections of your business plan, then write a couple of sentences summarizing each section. When readers have completely read through the executive summary, they should understand what your business does, how it does it, and how it stands above the competition.

2. Products and Services

In this section of your business plan, clearly describe the products and services you offer, including pricing and unique features and benefits. Explain the demand for your products and services. If pertinent, include information about manufacturing processes, your company’s intellectual property, proprietary technology, and details about research and development.

Include a paragraph or two about how your lab will process and fulfill customer orders. Describe specialized equipment your lab needs to create and deliver products. You can also explain future products or services you plan to offer.

3. Market Analysis

Market analysis is a key component of any successful laboratory business plan . That’s because the healthcare landscape changes constantly, and the success of your laboratory depends on how well you understand the market. When writing your market analysis, include information on your target market, your competition, and potential changes in the industry that could impact your business. Describe the expected consumer demand for your lab’s products, as well as how easy or difficult it might be to grab market share.

When determining your target market, consider factors such as age, gender, location, and income level. Understand what needs or problems your target market has that your laboratory can solve.

Your competition includes any other businesses that are offering similar products or services to your target market. Research your competition carefully. Find out what they’re offering, how much they’re charging, and their strengths and weaknesses. Knowing this information can help you differentiate your own products and services and make your business stand out.

Finally, stay aware of any potential changes in the medical industry that could impact your laboratory business. These could include new regulations, technological advances, or changing demographics. Understanding these potential changes can help your business adapt and stay ahead of the competition.

4. Marketing Strategy

In the marketing strategy section of your business plan, you’ll describe how your laboratory will attract and keep customers. Explain your marketing campaign ideas and how you plan to deliver marketing messages.

Once again, it’s important for you to know your target market well so that you can develop a plan to reach them. You can implement your strategy with traditional marketing tactics like print ads, direct mailers, and radio advertising. Or you can use or include more modern marketing methods, like social media marketing and search engine optimization.

Your marketing strategy will contain your business’s value proposition. This proposition introduces your brand to consumers and explains why your company deserves their business. The marketing strategy should address the four Ps of marketing: product, price, place, and promotion.

5. Budget and Financial Planning

The financial plan, the final piece in your business plan, discusses potential costs and how to manage them. This section will include financial planning and future projections. Established businesses often include statements and balance sheets in this section. New businesses discuss financial targets, estimates, and potential investors for the first few years.

Include a pro-forma that projects future income and expenses. The main components of a pro-forma are:

  • Revenue: Money you expect to bring in from patients, healthcare providers, and insurance companies. Don’t forget potential revenue sources such as government contracts.
  • Expenses: The cost of supplies, equipment, staff salaries, infrastructure, leasehold improvements, and technology.
  • Profit: The difference between revenue and expenses.

The pro-forma statement can help you obtain financing from lenders and investors. It can also help you plan for years in the future and anticipate changes as your business grows.

Questions you should ask yourself include: Are the fume hoods sized appropriately to protect lab workers? Are there a sufficient number of eyewash stations and first aid kits available? Is access to PPE well-thought-out – to encourage proper use? Is there adequate storage for potentially dangerous chemicals or fragile scientific equipment? Have you provided easily accessible drying racks for highly breakable glassware?

In many cases, specifying mobile storage carts can help prevent accidents when transporting heavy equipment; these can also make it easier to safely transport equipment in need of maintenance or service away from heavily trafficked areas to a dedicated service bay.

Protecting personnel from the Covid-19 virus is also another important consideration. Are lab workbenches spaced far enough apart to encourage social distancing? Are lab employees protected from one another by the use of transparent shields when they need to work in close quarters? Is the HVAC system designed to provide enhanced ventilation, ideally pulling air up and out of the facility rather than pushing it down toward the floor? Can you offer outdoor work areas for employees to conduct some of their work activities outside as well as provide pleasant outdoor areas for taking breaks and eating meals?

Greater emphasis is also being placed on lab security, especially given recent reports of foreign espionage directed at pharmaceutical research labs developing Coronavirus vaccines. Are your computer system sufficiently isolated and protected? Also, given that more employees will be accessing the outdoors, does the facility’s security perimeter policy take this into account?

Sustainability is another major concern in laboratory design. As we mentioned earlier, modular furniture designs can be reconfigured without difficulty, even moved to new locations if needed. This not only protects your original investment, it can also help you accrue LEED credits when performing future renovations or moving to a new facility.

Laboratory energy use is another important sustainability issue, especially given that most laboratories use energy at a greater rate than comparable office buildings (due to higher airflow requirements from fume hoods or cleanroom installations). Reducing energy use in laboratories remains a challenge, but new designs are showing it is possible, by increasing natural ventilation or redesigning the airflow in cleanroom installations for greater efficiency.
