To be effective your welcome speech needs to meet expected, as well as any specific, requirements dictated by the occasion.

The 6 standard welcome speech content ingredients

There are six common or standard content items in a good welcome speech.

• Greetings to welcome everyone and thanking them for coming along.
• Acknowledgement of special guests, if there are any.
• An introduction of the event itself and a brief overview of special highlights the audience will want to know about.
• Any important housekeeping information, for instance: where the bathrooms are, where lunch will be served and when...
• An introduction for the next speaker, if there is one.
• Thanking everyone for coming once more and then concluding having made everybody feel at ease, eagerly anticipating what is to come.

Numbers 1, 3, and 6 are basic essentials you cannot do without. Numbers 2, 4 and 5 may, or may not, be applicable. Pick what you need from them to fit your occasion.

Now let's put all six ingredients into an example of a short welcome speech to open a conference that you can adapt for your own speech.

* (This speech is pure fiction! I made it up to show you how it's done. You'll see its tone is formal rather than informal to fit the occasion. I don't think there is a group called Parents United. However, there are others with a similar mission: 10 Inspiring Organizations that Promote Literacy and Education .)  

Example welcome speech - "Readers by Right"

"Sue-Ellen Thomas, Jim Smith, Jane Brown and all of our guests, good morning!

My name is April Molloy, and it's my privilege and great pleasure on behalf of Parents United to welcome you all here today.

We are delighted to have you with us to participate and share in this special occasion, our 5th annual Children's Day Conference. Thank you for coming. That many of you have willingly traveled long distances to be here serves as a reminder to us all just how important our work is.

Parents United is committed to actively raising the quality of life for every child. We want all children, regardless of race, creed or circumstance to achieve their full potential. Our task is to make it possible. Our mission is to provide practical, step by step assistance.

This year our theme is literacy. We've named the day 'Readers by Right'.

Thanks to the 1948 United Nations Universal Declaration of Human Rights, we are aware of 'rights' in many spheres, including education.  Article 26 declared it should be compulsory and free for children.

That goal is as pertinent today as it was then. And it's a goal I know we all share - the full development of every child. As a body, Parents United recognizes good reading skills established in childhood as the foundation of fulfilling, and ongoing education.

We are honored to have Sue-Ellen Thomas, Jim Smith and Jane Brown with us today. All three are esteemed specialists in teaching young children to read.

Sue-Ellen has worked for a long time with educational authorities to establish programs putting in place necessary pre-reading skills. Her hard work needs no introduction. The results speak for themselves.

Jim and Jane bring their passion, and knowledge of how to reach those in our communities who are frequently overlooked or bypassed. Their work among disadvantaged English-as-a-second-language families has bridged gaps that were deep dark chasms.

Writing your welcome speech

Tips to help you get your speech right.

When you're entering information into your speech planner:

• ensure you've got all the names of individuals or special guests you need to mention specifically and, that you know how to pronounce each of them. Also check that you know and use their preferred pronouns: them/they, she/her, he/him...
• double check the remarks you're going to make about them, or anything else, are factually correct.

Use your introduction of your guests/or the event, as a "teaser" for what is going to come. It will help create anticipation in the audience. Don't ruin it by giving too much away! Just enough to tempt and no more.

Keep it brief. One to two minutes is generally sufficient.

(The word count of my sample welcome speech is 357. It will take approximately 2 minutes to say .) 

Use the S-S-S formula for success: Short, Simple and Sincere. Your listeners will appreciate it.

What does a good welcome speech do?

An effective welcome speech has three important functions. It:

• signals the official beginning of an event . It says to the audience, hush, sit down, stop talking and listen. What you came for is starting!
• sets the tone for the occasion through the choice of language used . For example, using light-hearted and informal words to welcome guests to a dear friend's birthday party may be completely appropriate.  However, the same type of language to welcome family and friends to a memorial service is unlikely to be. In that setting, people generally expect a more solemn and formal word choice. They could be deeply offended and think the use of casual language is disrespectful.  Understanding and getting tone right is a key element in the overall success of your welcome speech.  
• unites the audience . It draws everyone together in the common purpose at the heart of the occasion. For example, at a birthday party, the welcome speech invites everyone to join in celebrating the person whose birthday it is. The welcome speech opening a specialist conference will affirm its principal purpose: the coming together of people with mutual interests to meet and share new knowledge. Or if a welcome speech is given to newcomers in a workplace, club or educational setting, its purpose is to give an introductory overview of how things work to help them feel more at ease in their new situation - to help them develop a sense of belonging.

Getting the tone right for an event

What is tone.

Tone is the combined impact of the words chosen to express something, with how they are structured and, delivered.  All three elements come together to create tone * . 

Get tone wrong, and your welcome speech is a disaster.

Get it right, and it's a triumph!

(Yes, that's hyperbole but I'm sure you get the idea. ☺)

How to choose the right words

The beginning of getting tone right is to think about your audience and the event itself. Your goal is to unite and bring them together in the main purpose at the core of the occasion. What type of language will do that most appropriately and easily?

To answer that question, think about the common interest everybody shares - the principal reason behind them getting together.  It will help guide your language choice.

Is it a fun event like a birthday party for close friends and family? If so, then informal language is likely to be the most apt.

You might hear something along the lines of: "Well, here we all are! The big day has finally arrived. Jean-Marie is 50! Half a century! How on earth did that happen?"

If it's a remembrance service for someone who has recently died, the language you're likely to hear is more formal.

For example: "Friends, family, colleagues, thank you for joining us today to celebrate and give thanks for our dear Jean-Marie. Your presence is gratefully appreciated." 

What is appropriate? What is expected?  Do spend some time thinking tone through. Misunderstanding and getting it wrong can be very embarrassing for everyone. If in doubt, ask someone whose opinion you trust.

Greeting the Audience

• Keep the tone more serious if it's an important occasion. Use more formal language and don't crack any inappropriate jokes. For example, at a wake, you might say, "We're so glad to have you all here tonight. We appreciate your presence at this difficult time."

• For an event with close friends and family, more informal language might be appropriate. Include a few jokes and keep your speech more lighthearted.

Grab your audience's attention with a strong opening. Start with a loud voice and a strong presence that welcomes everyone and gets them involved. Ask a question they can respond to or tell a joke — anything to connect with the audience. Do something that grabs their attention and excites them and makes them thrilled about the event.

• Special guests include any people of honor, those that may play a particularly important part in the event, or those who have traveled a long way to be there.
• Make sure that you practice all of names, titles, and pronunciations of the special guests before your speech.
• For example you could say, "We'd like to extend a special welcome to our guest of honor, Judge McHenry, who will be speaking later tonight."
• Alternatively to welcome a group of people you might say, "While we're excited to have you all here tonight, we'd especially like to say welcome to the students from Johnson Middle School."

• For an informal event such as a birthday party, you could say, "We're so happy to have you here tonight to eat, drink, and celebrate another year of Jessica's life. Now, let's get to it."
• For a more formal event such as one run by an organisation, you could say, “We are so excited to have you all here to participate in our 10th annual pet’s day, organised by the Animal Rescue Group.”

Forming the Body of the Speech

• An example of acknowledging individual people is saying, “We couldn’t have pulled off this fundraiser without the hard work and dedication of Grace and Sally, who worked tirelessly from day 1 to make today a reality.”
• Avoid reading off a long list of people or sponsors, as your audience will begin to get bored. Stick to just a handful of highlights.

• For instance, at a conference, you might point out when the dinner will be held, or where particular sessions will take place.
• At a wedding reception, you might note when dancing will start or when the cake will be served.

• Alternatively, you could end the body of your speech during an informal gathering by saying, “I can't wait to see you all out on the dancefloor!”

Ending the Speech

• You could also say that you hope that the audience takes something away from the event. For example, “I hope that today inspires ideas and discussions around the ways that we can make our city a better place!”

• At a formal event, you might say, "Now, for our speaker. Rebecca Roberts comes here from Montreal, Canada, and she is a leading expert in the study of the human brain. She'll be speaking tonight on what drives humans to make decisions. Let's welcome her."
• For a more informal event such as a party, you could say, “Next up is Sam, who has been Kyle’s best friend for 10 years strong. He has a decade of embarrassing stories about Kyle to share with us tonight!"

• Alternatively you might say, “Thank you again to everyone for being here tonight to celebrate Joe and Kathleen’s 50th wedding anniversary! Let the celebrations begin!”

• If you are unsure, ask the organiser or host what an appropriate length of time for your speech will be.

Having a well written welcome speech that you’re confident about goes a long way in overcoming public speaking nervousness.

A great welcome speech sets the tone for the conference. It makes everyone feel welcome and creates the appropriate environment for the exchange of knowledge. The speech should broadly outline the contents of the event and, most importantly, make everyone feel excited for what’s to come.

In this article, you will find our best tips to create a successful welcome speech and some examples with analysis for inspiration.

Quick Tips for a successful welcome speech

Formal vs. informal language.

The first thing you should decide is whether you want to use formal or informal language. For larger events that include scientists of various fields where everybody might not know each other, you may want to use formal language. For smaller yearly conferences for researchers in your field where most people know each other, it’s common to use informal language.

I find that, in general, a rather informal or casual speech is more successful. That way you set the tone and bring everyone to the same level, promoting questions, comments, and socialization during the event.

Greet and welcome everyone

Start with a warm welcome. As alluded before, this can range from very formal (“Good morning to all attendees”) to informal (“Hello and welcome, everyone!”). These will be your first words, so you need to grab everyone’s attention—use a clear, strong voice.

A smile goes a long way to make everyone feel welcome and in a good mood. Make eye contact as you start addressing the room.

It can be great to inject a bit of humor, if appropriate. It could be something as simple as, “We are lucky to be in such a beautiful location with so many beaches close by. I hope that is not the main reason you’re here!”.

Talk about the event’s history and purpose

Is it a first-time event, a yearly conference put on by a scientific organization? In any case, you’ll want to mention the motivation behind the conference, what brings you together. If the event is related to a specific organization, you can mention its history and purpose.

Mention any distinguished guests

It is common for scientific conferences to have one or more distinguished guests or speakers. Mention them and thank them for accepting the invitation to participate. Make sure you have their names, credentials and affiliations correct.  

Thank creators and/or organizers

If the event is being held for the first time, thank the creators by name. Give some words of appreciation to the organizing committee. You don’t need to mention every single person involved, but rather the essential ones.

State the main topic(s)

Mention the main topic(s) of the conference, the common interests for all attendees. For annual conferences of scientific organizations, a specific subject within the field is usually chosen for each year. For example, for an annual meeting of an immunology organization, the year's topic could be “Infectious Diseases” or “Immunotherapies.”

Touch on the agenda

Briefly outline the event’s agenda. You can mention whether there will be sessions with specific (sub)topics, poster presentations, spaces for exchange and networking. We’ve broken down the steps below to help guide you through the process.

1. Start with a greeting and thank attendees for their time

When greeting your webinar attendees, remember that your team members work across regions, time zones, and even countries. Make sure to use a greeting that isn’t time-sensitive (e.g., “good morning”) and keep it succinct. “Hello and welcome” is always a safe choice.

When previewing your topic, keep the focus on attendee benefits and don’t go into too much detail about the webinar content or host yet.

You can boost your audience’s interest further by calling your webinar a “masterclass” or “seminar.” The word “presentation” sounds too formal, and “webinar” is used often, so consider a different distinction.

3. Handle housekeeping thoroughly but briefly

You’ve shared the topic and have set some expectations — now it’s time to let people know how they can participate in your webinar. 

A recent HubSpot survey asked participants which element they’d most like to see covered in a webinar, and the most popular response — at 22% — is “A host or presenter that takes questions from the audience.” Talk to your attendees about polls, chat, and other features you’ve planned for audience engagement .

“To make sure we’re helping you as best as we can on [topic] , we have a chat box to collect your questions. We’ll also have [share engagement tactics , such as polls or social media tags] .”

It’s better to show, not tell, at this point, though. Some ways to do so:

• Explain exactly where they can find the chat box in the webinar software tools (e.g., “On the right of your screen is a …”).
• Show an annotated screenshot with the chat box circled in red, so people can spot it on their own screens.

Go on to extend help: “If you have any questions at this point, feel free to drop them in the chat box below.”

This is also an important time to share whether the webinar recording will be available later. If you also plan to share the presentation deck or any other materials, be sure to communicate that as well so attendees know how to access and use them.

4. Introduce your speakers

Ideally, it makes sense to tell people who they’re watching on their screens as you welcome them in the beginning.

But you don’t want to go into the details of your experience if you’re also the speaker. The reason? Attendees will forget about your expertise if you dig into housekeeping after introducing yourself. So you’ll need to reintroduce yourself and other guests or topical mentors (if there are any), which will stretch your webinar welcome speech.

So a good, natural move is to throw in your one-line introduction at the start and share more about your expertise later on. However, it does depend on your role (moderator vs. host vs. speaker).

All the students have worked with a lot of dedication and sincerity so that they can shine through in their performances and make their college proud.

Other than these cultural programs, there would also be a special session dedicated to underprivileged children as well as children with special needs. In this session, our principal ma’am would enlighten all of us about the association which is actively working for these children and how our college is contributing towards this noble cause. So everyone is requested to attend the session and make their contribution in whatever manner they could. This is all I want to say!

Welcome Speech for Children’s Day

Good Morning Everyone!

We welcome all the students as we celebrate Children’s day today.

It is true, the imagination of a child is incomparable. Children are a creation of God and their smile is irresistible to not make us smile alone. Their innocence is overwhelming.

For children, school is a second home and teachers are equivalent to the parents in times when students need them the most. This day is celebrated with many events which cannot be possible without the contribution of our lovely teachers.

Thanking you all, I would like to start the events for the day without any further delay. 

It is simply not possible for everyone to come up with the right kind of words to use in a welcome speech. It is something that one has to plan and think about so that the right tone is set for the person you are welcoming to make his or her speech. Plus care has to be taken to ensure that none of the vital details are missed but at the same time, the speech cannot be too long. It is not as simple as writing a heart melting long distance relationship quote and requires a lot more consideration.

Focus on the TONE While Delivering the Introductory Speech For an Event

Understanding the basic idea and being able to think about the feel is really important in order to make the listener feel connected. Make sure they don’t yawn or even doesn’t end up rolling on the floor laughing too! Your speech should be making them feel eager to know what going to come up next. If at all it is the professional conference that you are conducting, you can’t pour in too much fun in your speech but a family function demands the same. It is a bitter reality that the women have been ill treated in society for ages with India being no acceptance. The irony lies in the fact for our country that women are worshipped in the form of Shakti whereas in reality she is just treated as a commodity and subjected to inhuman treatment. She is discriminated at two levels: The first being women and secondly, having lack of economic independence.

The issue of gender justice is nowadays being raised by the activists and the academics because of the women’s increasing demand for equality. But still they have to face a lot of discrimination. Actually, this problem is not confined to India, but women in European countries too face harassment & unfair treatment.

Gradually, women have been coming forward and playing their roles in diverse fields such as banking, finance, marketing, civil services, aviation and even armed forces. Perhaps, that may be the reason why the Government of India, has launched a series of initiatives to raise awareness about women’s rights through mass media campaigns, seminars, training programmes and workshops etc to improve the lot of women in the country.

Hon’ble Chief Guest, Hon’ble Head of the Department, Respected Researchers, Respected Senior Doctors, Dear Colleague Doctors, Dear Interns, Ladies & Gentlemen,

We have gathered here to discuss the scope of Radiology in treating various injuries and diseases in our Hospital – ‘Health & Care for you’. I am highly honoured to take this opportunity, on behalf of the Hospital and Head of Department, to welcome all of you today to this one-day Seminar.

We have amongst us several distinguished personalities who are highly qualified and possess vast knowledge and experience in the field of radiology. Our Hospital ‘Health & Care for you’ was established in the year 2000 with an objective to help patients suffering from abdominal cancer across India. Our mission is to root out the cause of cancer and treat the critical patients whose chance of survival is minimal. We have been highly successful so far and by the year 2015, we got pretty good exposure in foreign countries too which led us to open branches in Saudi Arabia and Singapore.

We have highly qualified and eminent doctors who are more like guardians to the patients, which is one of the core reasons why the patients recover soon. The hospital was established with a social cause and thus 40% of the funds get contributed towards treating the poor and needy people.

We have gathered here to discuss the scope of radiology in treating cancer. Our hospital uses and employs several methodologies in detecting the cause of cancer and subsequently treating the same, but technology has made several advancements in the field of medical science. Radiology is one of such technologies which we are going to discuss in detail today in this seminar.

Radiology employs imaging technologies like Magnetic Resonance Imaging (MRI), X-ray radiography, Nuclear Medicine, Computed Tomography (CT), Ultrasound and Positron Emission Tomography (PET) to observe within the body of the human being in order to detect diseases and abnormalities and subsequently treat the same. A further analysis exhibited that a radiographer is a health professional who is university-trained and works with progressive technology to produce CT Scan, X-rays, MRI Scans and several other medical images to support clinical radiologists and doctors identify, observe or treat the injury and illness of patients.

We will also discuss the scope of other modern technologies which have brought a revolution in the field of medical field. Having said this, I would like to reiterate that science has no bar. It has endless scope and opportunities. It is extremely gratifying that the school has reached great heights and realized its goals and objectives. The school conducts seminar every year for the students to gain knowledge and actively engage in the school’s activities. Each and every topic chosen is in the best interest of the students of this school. It is also made sure that the topics are engrossing and well-liked by the participants. Last year, the seminar was based on ‘’Accent Improvement’’ which has helped a lot of students in acquiring a finer accent in English language. The purpose of the seminar was to make our students as well as the staff, speak English more smoothly and accurately and to emphasize the importance of linking, stress, pausing and pitch while speaking.

Welcome Speech for Class Seminar

Hon’ble Chief Guest, Hon’ble Vice President, Respected Principal, Respected teachers, Respected Heads of departments, Dear staff colleagues, Dear students and Ladies and Gentlemen!

It’s indeed a matter of great honour for me to welcome all of you today, on behalf of the entire college, to the 3 rd annual seminar of the ——— College of Arts. The college was established in the year 2011 with a vision to create future leaders of tomorrow by imparting education, knowledge and skills. The objective of the college was not only to impart theoretical education, but also to nurture our students and keep them rooted to the social culture and ethics. It’s highly thrilling to share that the college has reached the heights of success and achieved its goal to a large extent.

To make the subject interesting, we have started conducting the annual seminar since 2015. We keep fresh and emerging topics every year to keep the students interested and engaged; motivate them to participate warmly and discuss and share their thoughts and opinions. Last year the topic was ‘Internet Security’ and it was a great success. Since internet has become the necessity of almost every individual today especially the youth generation, it’s important that the security measures are also adopted while using Internet in order to save oneself from unseen danger due to the security breach.

This year the topic we have chosen is the ‘Social Cause’. You must be aware that our college has partnered with two Non-Government Organisations (NGOs) working for the poor and deprived students and facilitate studies, education and means of living to those. In this one-day Seminar, we will discuss the importance of social cause, its impact on our college and society and how and why should our students contribute to the larger social cause.

Like every year, we have invited the subject matter experts and some common people who would share their views, experience, expertise and thoughts on the topic. The youth is the future of the nation and it is the responsibility of the college to create a better human being along with creating a good professional.

The seminar has been divided into certain segments like debates and discussions, theoretical views, facts and figures followed by the practical assignment which need to be accomplished by the next year. Even though working for the betterment of the society is one’s individual choice, but we highly encourage our students and staff to vigorously participate in the activities that promote social cause. Philanthropic activities not only bring accolades and reputation to the college but also boost the morale and consciousness of participants.

We are extremely hopeful that this seminar is also going to be a great success like every other year and we request for your support in making it a memorable and successful event.

It is both a great privilege and a pleasure to welcome you to this significant workshop on Anti-Money Laundering, Countering the Financing of Terrorism and Recovery Illicit Assets. 

On behalf of the United Nations Office on Drugs and Crime (UNODC) and the UN Family in Eswatini, I warmly welcome you to this event.

As you would know, UNODC leads the UN worldwide in supporting member states in the fight against transnational organized crime through implementing various treaties, such as the United Nations Convention against Transnational Organized Crime and the United Nations Convention against Corruption. These conventions, among other things, aim to combat illicit financial flows and encourage Member States to strengthen their legal and institutional frameworks on anti-money laundering and asset recovery.

Honourable Judges and Magistrates, this event marks a crucial step in Eswatini's ongoing commitment to combat financial crimes and recover assets obtained through illegal means, and I trust that it will greatly contribute to reinforcing Eswatini’s legal and institutional frameworks to safeguarding the integrity of its financial systems. 

Your presence here today is an acknowledgement of the critical role of a robust judiciary in combating illicit financial flows, enhancing the recovery and return of stolen assets, and combat organized crime. 

As judges and magistrates, your decisions have far-reaching implications, not only for the accused and the victims but also for the integrity of our financial systems and the trust of our citizens. It is, therefore, imperative to continue enhancing your expertise in asset forfeiture and money laundering to bolster these critical efforts.

A key focus of this workshop is to deepen the understanding of the complex legal arguments and scenarios that the judiciary encounters when dealing with money laundering and asset forfeiture cases. Over the next three days, experts will lead discussions of case studies, legal precedents, and investigative techniques that have proven successful globally.

Kindly allow me to speak briefly on four key messages:

1. The Crucial Role of Strong Institutions in AML-CFT and Achieving Sustainable Development

The 2030 Agenda for Sustainable Development, adopted by the global community in 2015, underscores the critical importance of strong institutions in achieving peace, justice, and inclusive societies—central tenets of SDG 16. Achieving the Sustainable Development Goals (SDGs) fundamentally depends on the strength of institutions that can build more resilient states and societies. 

Within this context, the judiciary holds a pivotal role in ensuring that justice is fair, accessible, and effective—key elements for sustainable development. 

Organized crime and money laundering directly threaten the realization of the SDGs, particularly SDG Target 16.4, which urges Member States, including Eswatini, to significantly reduce illicit financial flows, enhance the recovery and return of stolen assets, and combat all forms of organized crime by 2030. Illicit financial flows and organised crime, if left unaddressed, have the ability to cancerously infect and undermine all other institutions of society.  

2. A Whole-of-Government and Society Approach in the Fight Against Organized Crime and Money-Laundering 

While the judiciary plays a crucial role, the fight against organized crime and money laundering requires a comprehensive, whole-of-government approach. Key institutions such parliament, the executive, the judiciary, anti-corruption agencies, prosecutors, banks and the private sector, the Financial Intelligence Unit (FIU), law enforcement agencies, and regulatory bodies must work in concert to disrupt criminal networks and recover stolen assets. 

A coordinated approach ensures that gaps are closed, resources are maximized, and the collective impact is amplified. 

We express our appreciation for the tireless efforts of the Eswatini FIU and the Judiciary to make this event possible.

3. Regional and International Cooperation is Key

Strong international cooperation and transparency in financial systems are crucial to preventing illicit gains from undermining development efforts.  As UN Secretary-General António Guterres has previously stated, "Illicit financial flows are a major impediment to achieving the Sustainable Development Goals.”

Eswatini has commendably demonstrated its commitment to combating money laundering and organized crime by consistently adhering to international standards and collaborating closely with regional and global partners. 

As a member of the Eastern and Southern Africa Anti-Money Laundering Group (ESAAMLG), Eswatini continues to fortify its defenses against these complex crimes. 

Additionally, the Asset Recovery Interagency Network for Southern Africa (ARINSA), which is supporting this event, provides an informal, yet critical, method for tracing the proceeds of crime across the globe, upholding the slogans "Taking the Proceeds from Crime in Africa" and "Leave Criminals with Nowhere to Hide." On behalf of the UN, I thank ARINSA for its contribution Member States' efforts, such as those of Eswatini, in depriving criminals of their illicit gains and tools of crime.

Allow me to also express our appreciation for the support of the United States Government in the work of the United Nations, including the work of the United Nations Office on Drugs and Crime in the region, as well as for their contribution to this event. 

4. The Importance of Capacity Building Continuous learning and review to keep up ahead of perpetrators

Our economies and trade are increasingly interconnected while exponential technological advancement make it equally available for both benign and malignant use. This means that the entire institutional architecture responsible for the AML-CFT must stay ahead in its capabilities, from regulations, prevention, detection to successful prosecution and deterrence. 

Indeed, this workshop is about learning and expanding our capacities in important area and encouraging networks for informal collaboration on common challenges and potential solutions.

As I conclude, I trust that this workshop will empower and strengthen you, the distinguished members of the Eswatini Judiciary, enabling you to secure more money laundering convictions where warranted and increase the seizure and forfeiture of illicit assets in alignment with international best practices and Eswatini law.
