As a recruiter , I know employers like to hire people who can solve problems and work well under pressure.

 A job rarely goes 100% according to plan, so hiring managers are more likely to hire you if you seem like you can handle unexpected challenges while staying calm and logical.

But how do they measure this?

Hiring managers will ask you interview questions about your problem-solving skills, and they might also look for examples of problem-solving on your resume and cover letter. 

In this article, I’m going to share a list of problem-solving examples and sample interview answers to questions like, “Give an example of a time you used logic to solve a problem?” and “Describe a time when you had to solve a problem without managerial input. How did you handle it, and what was the result?”

  • Problem-solving involves identifying, prioritizing, analyzing, and solving problems using a variety of skills like critical thinking, creativity, decision making, and communication.
  • Describe the Situation, Task, Action, and Result ( STAR method ) when discussing your problem-solving experiences.
  • Tailor your interview answer with the specific skills and qualifications outlined in the job description.
  • Provide numerical data or metrics to demonstrate the tangible impact of your problem-solving efforts.

What are Problem Solving Skills? 

Problem-solving is the ability to identify a problem, prioritize based on gravity and urgency, analyze the root cause, gather relevant information, develop and evaluate viable solutions, decide on the most effective and logical solution, and plan and execute implementation. 

Problem-solving encompasses other skills that can be showcased in an interview response and your resume. Problem-solving skills examples include:

  • Critical thinking
  • Analytical skills
  • Decision making
  • Research skills
  • Technical skills
  • Communication skills
  • Adaptability and flexibility

Why is Problem Solving Important in the Workplace?

Problem-solving is essential in the workplace because it directly impacts productivity and efficiency. Whenever you encounter a problem, tackling it head-on prevents minor issues from escalating into bigger ones that could disrupt the entire workflow. 

Beyond maintaining smooth operations, your ability to solve problems fosters innovation. It encourages you to think creatively, finding better ways to achieve goals, which keeps the business competitive and pushes the boundaries of what you can achieve. 

Effective problem-solving also contributes to a healthier work environment; it reduces stress by providing clear strategies for overcoming obstacles and builds confidence within teams. 

Examples of Problem-Solving in the Workplace

  • Correcting a mistake at work, whether it was made by you or someone else
  • Overcoming a delay at work through problem solving and communication
  • Resolving an issue with a difficult or upset customer
  • Overcoming issues related to a limited budget, and still delivering good work through the use of creative problem solving
  • Overcoming a scheduling/staffing shortage in the department to still deliver excellent work
  • Troubleshooting and resolving technical issues
  • Handling and resolving a conflict with a coworker
  • Solving any problems related to money, customer billing, accounting and bookkeeping, etc.
  • Taking initiative when another team member overlooked or missed something important
  • Taking initiative to meet with your superior to discuss a problem before it became potentially worse
  • Solving a safety issue at work or reporting the issue to those who could solve it
  • Using problem solving abilities to reduce/eliminate a company expense
  • Finding a way to make the company more profitable through new service or product offerings, new pricing ideas, promotion and sale ideas, etc.
  • Changing how a process, team, or task is organized to make it more efficient
  • Using creative thinking to come up with a solution that the company hasn’t used before
  • Performing research to collect data and information to find a new solution to a problem
  • Boosting a company or team’s performance by improving some aspect of communication among employees
  • Finding a new piece of data that can guide a company’s decisions or strategy better in a certain area

Problem-Solving Examples for Recent Grads/Entry-Level Job Seekers

  • Coordinating work between team members in a class project
  • Reassigning a missing team member’s work to other group members in a class project
  • Adjusting your workflow on a project to accommodate a tight deadline
  • Speaking to your professor to get help when you were struggling or unsure about a project
  • Asking classmates, peers, or professors for help in an area of struggle

How To Answer “Tell Us About a Problem You Solved”

When you answer interview questions about problem-solving scenarios, or if you decide to demonstrate your problem-solving skills in a cover letter (which is a good idea any time the job description mentions problem-solving as a necessary skill), I recommend using the STAR method.

STAR stands for:

It’s a simple way of walking the listener or reader through the story in a way that will make sense to them. 

Start by briefly describing the general situation and the task at hand. After this, describe the course of action you chose and why. Ideally, show that you evaluated all the information you could given the time you had, and made a decision based on logic and fact. Finally, describe the positive result you achieved.

How can I communicate complex problem-solving experiences clearly and succinctly?

Before answering any interview question, it’s important to understand why the interviewer is asking the question in the first place.

When it comes to questions about your complex problem-solving experiences, for example, the interviewer likely wants to know about your leadership acumen, collaboration abilities, and communication skills, not the problem itself.

Therefore, your answer should be focused on highlighting how you excelled in each of these areas, not diving into the weeds of the problem itself, which is a common mistake less-experienced interviewees often make.

Tailoring Your Answer Based on the Skills Mentioned in the Job Description

As a recruiter, one of the top tips I can give you when responding to the prompt “Tell us about a problem you solved,” is to tailor your answer to the specific skills and qualifications outlined in the job description. 

Once you’ve pinpointed the skills and key competencies the employer is seeking, craft your response to highlight experiences where you successfully utilized or developed those particular abilities. 

For instance, if the job requires strong leadership skills, focus on a problem-solving scenario where you took charge and effectively guided a team toward resolution. 

By aligning your answer with the desired skills outlined in the job description, you demonstrate your suitability for the role and show the employer that you understand their needs.

Amanda Augustine expands on this by saying:

“Showcase the specific skills you used to solve the problem. Did it require critical thinking, analytical abilities, or strong collaboration? Highlight the relevant skills the employer is seeking.”  

Interview Answers to “Tell Me About a Time You Solved a Problem”

Now, let’s look at some sample interview answers to, “Give me an example of a time you used logic to solve a problem,” or “Tell me about a time you solved a problem,” since you’re likely to hear different versions of this interview question in all sorts of industries.

The example interview responses are structured using the STAR method and are categorized into the top 5 key problem-solving skills recruiters look for in a candidate.

1. Analytical Thinking

Situation: In my previous role as a data analyst , our team encountered a significant drop in website traffic.

Task: I was tasked with identifying the root cause of the decrease.

Action: I conducted a thorough analysis of website metrics, including traffic sources, user demographics, and page performance. Through my analysis, I discovered a technical issue with our website’s loading speed, causing users to bounce. 

Result: By optimizing server response time, compressing images, and minimizing redirects, we saw a 20% increase in traffic within two weeks.

2. Critical Thinking

Situation: During a project deadline crunch, our team encountered a major technical issue that threatened to derail our progress.

Task: My task was to assess the situation and devise a solution quickly.

Tips to Improve Your Problem-Solving Skills

Throughout your career, being able to showcase and effectively communicate your problem-solving skills gives you more leverage in achieving better jobs and earning more money .

So to improve your problem-solving skills, I recommend always analyzing a problem and situation before acting.

 When discussing problem-solving with employers, you never want to sound like you rush or make impulsive decisions. They want to see fact-based or data-based decisions when you solve problems.

Don’t just say you’re good at solving problems. Show it with specifics. How much did you boost efficiency? Did you save the company money? Adding numbers can really make your achievements stand out.

To get better at solving problems, analyze the outcomes of past solutions you came up with. You can recognize what works and what doesn’t.

Think about how you can improve researching and analyzing a situation, how you can get better at communicating, and deciding on the right people in the organization to talk to and “pull in” to help you if needed, etc.

Finally, practice staying calm even in stressful situations. Take a few minutes to walk outside if needed. Step away from your phone and computer to clear your head. A work problem is rarely so urgent that you cannot take five minutes to think (with the possible exception of safety problems), and you’ll get better outcomes if you solve problems by acting logically instead of rushing to react in a panic.

You can use all of the ideas above to describe your problem-solving skills when asked interview questions about the topic. If you say that you do the things above, employers will be impressed when they assess your problem-solving ability.

Traditionally, in U.S. classrooms, the writing process is depicted as a series of linear steps (e.g., prewriting , writing , revising , and editing ). However, since the 1980s the writing process has also been depicted as a problem-solving process. This article traces the evolution of Linda Flower and John Hayes' problem-solving model of the writing process, and it provides you with an opportunity to illustrate your own writing process.

What are Problem Solving Strategies for Writers?

As an alternative to imagining the writing process to be a series of steps or stages that writers work through in linear manner or as a largely mysterious, creative processes informed by embodied knowledge , felt sense , and inner speech, Linda Flower and John Hayes suggested in 1977 that writing should be thought of as a “thinking problem,” a “problem-solving process,” or “cognitive problem solving process”:

“We frequently talk of writing as if it were a series of independent temporally bounded actions (e.g.,  pre-writing ,  writing ,  rewriting ). It is more accurate to see it as a hierarchical set of subproblems arranged under a goal or set of goals. The process then is an iterative one. For each subproblem along the way — whether it is making a logical connection between hazy ideas, or finding a persuasive tone — the writer may draw on a whole repertoire of procedures and heuristics” (Flower & Hayes, 1977, p. 460-461).

Examples of Problem-Solving Strategies

  • Rhetorical analysis , rhetorical reasoning
  • Engage in logical reasoning
  • Engaging in the information literacy perspectives and practices of educated, critical readers
  • Working with others during the writing process , such as brainstorming ideas together, collaborating on a draft , or writing as part of a team .
  • Sharing drafts with peers and giving each other constructive feedback . This can help writers see their work from different perspectives and identify areas for improvement that they might have overlooked.
  • Seeking guidance from more experienced writers or instructors, such as a teacher, tutor, or writing center consultant. This can involve discussing writing challenges, getting feedback on drafts , or learning new writing strategies .
  • Talking through ideas with others before and during the writing process . This can help writers clarify their thoughts, explore different viewpoints, and generate new ideas.
  • In group writing projects, members might need to negotiate on various aspects, like the division of tasks, the main argument or focus of the piece, or the style and tone of the writing .
  • Considering the needs, expectations, and perspectives of the intended readers. This can influence many aspects of the writing, from the overall structure and argument to the choice of language and examples.
  • Defining what one wants to achieve with a piece of writing, be it a specific grade, clarity of argument , or a certain word count.
  • Finding ways to stay motivated during the writing process, such as breaking the task into manageable pieces, rewarding oneself after reaching certain milestones, or focusing on the value and relevance of the task.
  • Managing feelings of frustration, anxiety, or boredom that may arise during the writing process. This might involve taking breaks, practicing mindfulness, or reframing negative thoughts.
  • Organizing one’s time effectively to meet deadlines and avoid last-minute stress. This might involve creating a writing schedule, setting aside specific times for writing, or using tools like timers or apps to stay focused.
  • Regularly reflecting on one’s writing process and progress, identifying strengths and areas for improvement, and making adjustments as necessary.
  • Critically reviewing one’s own writing to identify potential improvements, before getting feedback from others.
  • Thinking about one’s own thinking or writing process involves setting goals, self-monitoring one’s progress, and adjusting tactics as needed.

Review of Research

Initially, in 1977, the problem-solving model was fairly simple: it focused on the writer’s memory, the task environment (aka the rhetorical situation ), prewriting , and reviewing. By 2014, following multiple iterations, the model had become more sophisticated, adding layers of complexity, such as the writer’s motivation, their knowledge of design schemas (given the visual turn in writing ), their intrapersonal and intrapersonal competencies , and their access to production technologies (aka, new writing spaces).

In 1980 Hayes and Flower introduced their cognitive process model in “Identifying the Organization of Writing Processes.” Then, in 1981, they elaborated on that model in “A Cognitive Process Theory of Writing,” an article published in College Composition and Communication , a leading journal in writing studies .

As suggested by the above illustration, Flower and Hayes conceptualized the writing process to be composed of three major cognitive activities:

  • planning – Writers set goals and establish a plan for writing the document.
  • translating – Writers translate thought into words
  • reviewing – Writers detect and correct “weaknesses in the text with respect to language conventions and accuracy of meaning” (p. 12).

They also introduced the concept of a “monitor” to account for how writers switch between planning, translating, and reviewing based on the writer’s assessment of the text.

Later, in “Modeling and Remodeling Writing” (2012), provided a more robust, complex model of the writing process. In his revision, Hayes omitted the concept of the monitor and he suggested that composing occurs on three levels:

  • Control Level This level addresses (1) the writer’s motivation; (2) their ability to set goals (plan, write, revise); (3) their familiarity with writing schemas; (4) their current plan
  • Process Level This level focuses on (1) the task environment and (2) the writing process itself, detailing the interactions between the writer, the task, and the context in which writing occurs. Writing Processes: 1. The Evaluator (e.g., a teacher, boss, or client); 2. The Proposer; 3. The Translator; 4. The Transcriber. Task Environment: 1. Collaborators & Critics; 2. Transcribing Technology; 3. Task Materials, Written Plans; 4. Text Written So Far
  • working memory, which is responsible for temporarily storing and manipulating information during the writing process
  • long-term memory, which stores knowledge about language, genre conventions, and prior experiences with writing tasks
  • attention, which allows writers to focus on specific aspects of the task while filtering out irrelevant information
  • reading, which references the writer’s literary history, what they’ve read and how conversant they are with ongoing scholarly conversations about the topic.

Some key differences and improvements in the 2012 model include:

  • The 2012 model introduces additional cognitive components, such as working memory and motivation , which were not explicitly addressed in the original model.
  • The 2012 model endeavors to account for the social aspects of writing, including collaboration and communication with others during the writing process.
  • The original Hayes-Flower model presented the writing subprocesses (planning, translating, and reviewing) in a linear fashion. However, the 2012 model emphasizes that these processes are recursive and iterative, meaning that writers continually move back and forth between these stages as they write, revise, and refine their work.
  • The updated model aims to addresses the impact of digital technologies on the writing process, acknowledging that the use of computers, word processing software, and online resources can significantly influence how writers plan, compose, and revise their texts.

In 2014, Hayes, in collaboration with three other colleagues (Leijten et al. 2014), once again revised his model of the composing processes. Leijten et al. argue that writing processes have changed significantly since Hayes’ 2012 revision thanks to the development and adoption of new digital technologies. They were especially interested in online collaboration tools used in the work place.

As illustrated below, in the revised model, Leijten et al. added “design schemas” (e.g., graphics, drawings, photographs, and other visuals) to the control level. At the process level, they added graphics to the text the writer had produced thus far. They also included motivation management at the resource level to address the fatigue and conflicts that can set in during long projects involving many steps and people. Perhaps most importantly, they added a searcher to the writing process to account for how open the writer is to strategic searching or how open they are to new information that contradicts previous information .

A Fun Exercise

One of the takeaways from research on writer’s composing processes is that we’re all special snowflakes: we each have our unique processes for generating, research, and writing.

To gain some insight into your own writing processes, why not draw it?

  • Get your crayons out or whatever writing tools you use to draw.
  • Draft your own vision of the writing process.
  • Write a narrative that explains your drawing.

Problem-solving is an essential and marketable soft skill in the workplace.

Problem-solving skills are the ability to identify problems, brainstorm and analyze answers, and implement the best solutions. An employee with good problem-solving skills is both a self-starter and a collaborative teammate; they are proactive in understanding the root of a problem and work with others to consider a wide range of solutions before deciding how to move forward. 

Examples of using problem-solving skills in the workplace include:

  • Researching patterns to understand why revenue decreased last quarter
  • Experimenting with a new marketing channel to increase website sign-ups
  • Brainstorming content types to share with potential customers
  • Testing calls to action to see which ones drive the most product sales

Problem-solving skills are the most sought-after soft skill of 2022. In fact, 86% of employers look for problem-solving skills on student resumes, according to the National Association of Colleges and Employers Job Outlook 2022 survey . 

It’s unsurprising why employers are looking for this skill: companies will always need people to help them find solutions to their problems. Someone proactive and successful at problem-solving is valuable to any team.

“Employers are looking for employees who can make decisions independently, especially with the prevalence of remote/hybrid work and the need to communicate asynchronously,” Eric Mochnacz, senior HR consultant at Red Clover, says. “Employers want to see individuals who can make well-informed decisions that mitigate risk, and they can do so without suffering from analysis paralysis.”

Problem-solving includes three main parts: identifying the problem, analyzing possible solutions, and deciding on the best course of action.

Research is the first step of problem-solving because it helps you understand the context of a problem. Researching a problem enables you to learn why the problem is happening. For example, is revenue down because of a new sales tactic? Or because of seasonality? Is there a problem with who the sales team is reaching out to? 

Research broadens your scope to all possible reasons why the problem could be happening. Then once you figure it out, it helps you narrow your scope to start solving it. 

Analysis is the next step of problem-solving. Now that you’ve identified the problem, analytical skills help you look at what potential solutions there might be.

“The goal of analysis isn’t to solve a problem, actually — it’s to better understand it because that’s where the real solution will be found,” Gretchen Skalka, owner of Career Insights Consulting, says. “Looking at a problem through the lens of impartiality is the only way to get a true understanding of it from all angles.”

Decision-Making

Once you’ve figured out where the problem is coming from and what solutions are, it’s time to decide on the best way to go forth. Decision-making skills help you determine what resources are available, what a feasible action plan entails, and what solution is likely to lead to success.

On a Resume

Employers looking for problem-solving skills might include the word “problem-solving” or other synonyms like “ critical thinking ” or “analytical skills” in the job description.

“I would add ‘buzzwords’ you can find from the job descriptions or LinkedIn endorsements section to filter into your resume to comply with the ATS,” Matthew Warzel, CPRW resume writer, advises. Warzel recommends including these skills on your resume but warns to “leave the soft skills as adjectives in the summary section. That is the only place soft skills should be mentioned.”

On the other hand, you can list hard skills separately in a skills section on your resume .

In a Cover Letter or an Interview

Explaining your problem-solving skills in an interview can seem daunting. You’re required to expand on your process — how you identified a problem, analyzed potential solutions, and made a choice. As long as you can explain your approach, it’s okay if that solution didn’t come from a professional work experience.

“Young professionals shortchange themselves by thinking only paid-for solutions matter to employers,” Skalka says. “People at the genesis of their careers don’t have a wealth of professional experience to pull from, but they do have relevant experience to share.”

Aaron Case, career counselor and CPRW at Resume Genius, agrees and encourages early professionals to share this skill. “If you don’t have any relevant work experience yet, you can still highlight your problem-solving skills in your cover letter,” he says. “Just showcase examples of problems you solved while completing your degree, working at internships, or volunteering. You can even pull examples from completely unrelated part-time jobs, as long as you make it clear how your problem-solving ability transfers to your new line of work.”

Learn How to Identify Problems

Problem-solving doesn’t just require finding solutions to problems that are already there. It’s also about being proactive when something isn’t working as you hoped it would. Practice questioning and getting curious about processes and activities in your everyday life. What could you improve? What would you do if you had more resources for this process? If you had fewer? Challenge yourself to challenge the world around you.

Think Digitally

“Employers in the modern workplace value digital problem-solving skills, like being able to find a technology solution to a traditional issue,” Case says. “For example, when I first started working as a marketing writer, my department didn’t have the budget to hire a professional voice actor for marketing video voiceovers. But I found a perfect solution to the problem with an AI voiceover service that cost a fraction of the price of an actor.”

Being comfortable with new technology — even ones you haven’t used before — is a valuable skill in an increasingly hybrid and remote world. Don’t be afraid to research new and innovative technologies to help automate processes or find a more efficient technological solution.

Collaborate

Problem-solving isn’t done in a silo, and it shouldn’t be. Use your collaboration skills to gather multiple perspectives, help eliminate bias, and listen to alternative solutions. Ask others where they think the problem is coming from and what solutions would help them with your workflow. From there, try to compromise on a solution that can benefit everyone.

If we’ve learned anything from the past few years, it’s that the world of work is constantly changing — which means it’s crucial to know how to adapt . Be comfortable narrowing down a solution, then changing your direction when a colleague provides a new piece of information. Challenge yourself to get out of your comfort zone, whether with your personal routine or trying a new system at work.

Put Yourself in the Middle of Tough Moments

Just like adapting requires you to challenge your routine and tradition, good problem-solving requires you to put yourself in challenging situations — especially ones where you don’t have relevant experience or expertise to find a solution. Because you won’t know how to tackle the problem, you’ll learn new problem-solving skills and how to navigate new challenges. Ask your manager or a peer if you can help them work on a complicated problem, and be proactive about asking them questions along the way.

Most of us face problems that we must solve every day. While some problems are more complex than others, we can apply critical thinking skills to every problem by asking questions like, what information am I missing? Why and how is it important? What are the contributing factors that lead to the problem? What resources are available to solve the problem? These questions are just the start of being able to think of innovative and effective solutions. Read through the following critical thinking, problem-solving process to identify steps you are already familiar with as well as opportunities to build a more critical approach to solving problems.

Problem-Solving Process

Step 1: define the problem.

Albert Einstein once said, “If I had an hour to solve a problem, I’d spend 55 minutes thinking about the problem and five minutes thinking about solutions.”

Often, when we first hear of or learn about a problem, we do not have all the information. If we immediately try to find a solution without having a thorough understanding of the problem, then we may only be solving a part of the problem.  This is called a “band-aid fix,” or when a symptom is addressed, but not the actual problem. While these band-aid fixes may provide temporary relief, if the actual problem is not addressed soon, then the problem will continue and likely get worse. Therefore, the first step when using critical thinking to solve problems is to identify the problem. The goal during this step is to gather enough research to determine how widespread the problem is, its nature, and its importance.

Step 2: Analyze the Causes

This step is used to uncover assumptions and underlying problems that are at the root of the problem. This step is important since you will need to ensure that whatever solution is chosen addresses the actual cause, or causes, of the problem.

Asking “why” questions to uncover root causes

A common way to uncover root causes is by asking why questions. When we are given an answer to a why question, we will often need to question that answer itself. Thus the process of asking “why” is an  iterative process —meaning that it is a process that we can repeatedly apply. When we stop asking why questions depends on what information we need and that can differ depending on what the goals are. For a better understanding, see the example below:

Problem: The lamp does not turn on.

  • Why doesn’t the lamp turn on? The fuse is blown.
  • Why is the fuse blown? There was overloaded circuit.
  • Why was the circuit overloaded? The hair dryer was on.

If one is simply a homeowner or tenant, then it might be enough to simply know that if the hair dryer is on, the circuit will overload and turn off.  However, one can always ask further why questions, depending on what the goal is. For example, suppose someone wants to know if all hair dryers overload circuits or just this one. We might continue thus:

  • Why did this hair dryer overload the circuit? Because hair dryers in general require a lot of electricity.

But now suppose we are an electrical engineer and are interested in designing a more environmentally friendly hair dryer. In that case, we might ask further:

  • Why do hair dryers require so much energy?

As you can see from this example, what counts as a root cause depends on context and interests. The homeowner will not necessarily be interested in asking the further why questions whereas others might be.

Step 3: Generate Solutions

The goal of this step is to generate as many solutions as possible. In order to do so, brainstorm as many ideas as possible, no matter how outrageous or ineffective the idea might seem at the time. During your brainstorming session, it is important to generate solutions freely without editing or evaluating any of the ideas. The more solutions that you can generate, the more innovative and effective your ultimate solution might become upon later review.

You might find that setting a timer for fifteen to thirty minutes will help you to creatively push past the point when you think you are done. Another method might be to set a target for how many ideas you will generate. You might also consider using categories to trigger ideas. If you are brainstorming with a group, consider brainstorming individually for a while and then also brainstorming together as ideas can build from one idea to the next.

Step 4: Select a Solution

Once the brainstorming session is complete, then it is time to evaluate the solutions and select the more effective one.  Here you will consider how each solution will address the causes determined in step 2. It is also helpful to develop the criteria you will use when evaluating each solution, for instance, cost, time, difficulty level, resources needed, etc. Once your criteria for evaluation is established, then consider ranking each criterion by importance since some solutions might meet all criteria, but not to equally effective degrees.

In addition to evaluating by criteria, ensure that you consider possibilities and consequences of all serious contenders to address any drawbacks to a solution. Lastly, ensure that the solutions are actually feasible.

Step 6: Put Solution into Action

While many problem-solving models stop at simply selecting a solution, in order to actually solve a problem, the solution must be put into action. Here, you take responsibility to create, communicate, and execute the plan with detailed organizational logistics by addressing who will be responsible for what, when, and how.

Step 7: Evaluate progress

The final step when employing critical thinking to problem-solving is to evaluate the progress of the solution. Since critical thinking demands open-mindedness, analysis, and a willingness to change one’s mind, it is important to monitor how well the solution has actually solved the problem in order to determine if any course correction is needed.

While we solve problems every day, following the process to apply more critical thinking approaches in each step by considering what information might be missing; analyzing the problem and causes; remaining open-minded while brainstorming solutions; and providing criteria for, evaluating, and monitoring solutions can help you to become a better problem-solver and strengthen your critical thinking skills.

Sample answer: “Sales were down, and I needed to find a solution. I sent out surveys to team members to determine the cause of the problem. It turned out that sales were down because employees were not following up on leads. After I implemented a new project management system, sales increased by 10%.”

How do you weigh the pros and cons before making a decision?

When answering the question, explain how you make decisions, what systems you use, and why you use them. There’s no right or wrong system.

Sample answer: “When I make decisions, I use logic and reasoning and ensure I have gathered all the information I need. I then use the facts to weigh the different options and evaluate the likelihood of each outcome. I make the best decision for my company based on the ideal scenario.”

Your manager wants to buy new software or hardware to increase team productivity and asks you for a recommendation. How would you respond?

Your interviewer has asked you to imagine a job-related scenario. It’s hypothetical, but it will test your ability to think through all the relevant factors. 

Sample answer: “ First, I would research which functions are most important to my supervisor and what the budget constraints are. Then I would search for productivity software that would meet current and future needs. Once I compiled a list of 5-10 options, I would narrow it down to three with a top recommendation.”

Explain step-by-step how you troubleshoot [X] problem

You are not expected to solve the problem but rather explain how you approach it.

Sample answer: “I first try to understand the situation. Then I take a step-by-step approach to figure out what caused the problem. If I can’t do it myself, I ask for help. At that point, we should have found something that works. If not, I’ll review to see if there’s another step I have overlooked or contact my managers .”

What metrics do you regularly track (e.g., conversion rates, number of new customers, expenses)? What information do you research, and how do you use it?

Answer this with a metric that you know is relevant to the job you are applying for.

Sample answer: “ I currently use analytics software to track where visitors to my website are coming from and their activities while they are there. This helps me understand how successful our current campaigns are and how often we attract new visitors to our site. These statistics assist in determining the next step for the business .”

STAR stands for Situation, Task, Action, and Result, and this method will help you create structured, concise, and engaging responses to behavioral interview questions. Whenever you need to tell a story to demonstrate your skills, STAR is your go-to.

What Is the STAR Method?

The STAR (Situation-Task-Action-Result) method, a.k.a. the STAR format, is a way to answer behavioral interview questions and other common questions that require storytelling. It proves you’ve got the skills needed to excel in the position you applied for — based on a story about how you used those skills in the past.

Usually, you’ll need to use the STAR technique when answering behavioral interview questions , that is, questions that begin with:

  • Tell me about a time when…
  • Can you recall a situation in which…
  • Give me an example of a time when you…

The STAR method can be useful in answering any question, whenever you’d like to use a story or illustrate something with an example. For instance, questions about:

  • Your proudest accomplishments
  • Times you failed
  • Your strengths
  • Your weaknesses
  • Situational questions – questions about a hypothetical situation

“I recommend that when it’s possible, candidates add a short STAR example to the hypothetical. Like: ‘Here’s a description of how I would generally respond. For example, I recently had a situation…’ Not always possible but definitely helpful. A real example is much more memorable and convincing than theorizing.” — says Skillings.

How to Create Answers Using the STAR Method

The STAR Method

Let’s break down each component of the STAR method and learn the best way to craft compelling stories.

We’ll use an example of a retail sales associate being asked the following question: “Tell me about a time when you initiated a successful project or an idea.”

Describe the situation so that your interviewer understands the context. There’s no need to be too detailed. Providing a general context with the most important facts should be enough. This should take around 15% of the total answer time.

For example:

Briefly describe your specific task or responsibility in that situation. No need to go into detail here either, just make sure to highlight what your role was.

This is usually the shortest part and should account for 10% of the whole answer.

The main part of your STAR answer. You need to be as detailed as possible when describing what actions you took to achieve something. The Action part should take up around 60% of your answer (it might seem a lot, but remember, you have to describe what you did — step by step).

Here, interviewers will look for clues about your experience and skills. Depending on the skill the question is supposed to assess, this bit will show them:

  • How you think.
  • How you organize work.
  • How well you work with others.
  • If you have an analytical mind.

✅ Pro tip: The question hints about what skills you’ll need to highlight in the Action part. For example, in our case, the question “Tell me about a time when you initiated a successful project or an idea,” will look to assess:

  • Your ability to take initiative (because you initiated a project)
  • Your analytical skills (because you spotted potential areas of improvement)
  • Your problem-solving skills (how you completed that project or idea)
  • Your communication skills (because you had to successfully present an idea and get approval for its realization)

Here, you should mention the tangible results of your actions. Ideally, these will be quantifiable data (%, $), but you can also include qualitative things (bonuses, positive feedback, promotions, awards).

✅ Pro tip: You can also touch upon lessons learned from your experiences. This is especially important for questions about less flattering experiences you had, like the ones about your failures or weaknesses.

Here’s what the entire answer would sound like.

Sample answer using the STAR method

Interviewer: “Tell me about a time when you initiated a successful project or an idea.”

STAR Method in Action: Sample Questions and Answers

Sample star answer to a question about teamwork, industry: it consulting.

Interviewer: “Share an example of when you had to adapt to a team member’s working style.”

Situation: A few months ago, I was assigned to work on a project with a coworker from another department.

Task: Our task was to develop processes for several new services our agency introduced to our clients. After the initial meeting, I noticed big differences in how he and I approach work. I’m flexible and tend to focus on the big picture. He’s detail-oriented and prefers a structured approach.

Action: We decided to split the work accordingly. I focused on the goals of these new services and how to best follow them through procedures. I also worked on identifying key milestones and major project components. He, in turn, worked on granular steps, created structured plans for each project phase, and developed in-depth documentation and manuals explaining the processes.

Result: We ended up completing the project a week before the deadline and with minimal reiterations from the management team. The experience taught me that such a big difference in working styles is not a disadvantage: on the contrary, it’s a complementary strength that helps us contribute to the team and the company in the best possible way.

Why we like it: The candidate saw a way to turn a potentially difficult clash into a productive experience, displaying positivity and great interpersonal skills. They also proved their problem-solving skills by devising a plan where both people could contribute to the project through their unique strengths.

Sample STAR answer to a question about problem-solving

Industry: hr.

Interviewer: “How did you approach a situation where you had multiple problems to solve at the same time?”

Situation: In my last position where I worked as a recruiter, we got into a high-demand hiring season where we had to fill in several key positions across several departments simultaneously.

Task: At first, I didn’t know what to focus on, as I was in charge of managing open positions and moving candidates through the hiring process effectively.

Action: I decided to structure my approach and began by researching each position thoroughly to gauge the urgency and criticality of the role. It helped me prioritize and allocate resources accordingly. I made strategic use of our applicant tracking system to streamline the sourcing and screening processes to filter out only the best, relevant candidates. I also used industry-specific platforms and forums to track people.

Result: This helped me meet the hiring goals and decrease the time needed for hiring. 2 years later, all the people I hired then are still in the company, which proves they were a good fit.

Why we like it: The candidate explained in detail their process for solving the problem, which gives the interviewer insight into their approach, problem-solving skills, prioritization, and analytical thinking.

Industry: email marketing.

Industry: education.

Interviewer: “Tell me about a situation when you persuaded someone to see things your way at work.”

Situation: Two years ago, I wanted to integrate some practical, real-world examples into classes and courses.

Task : I especially wanted to do this in my lessons and I wanted my students to get some hands-on experience in marketing.

Action: For this, I thought about involving a local retail business. So I had to convince my coworkers, teachers, and school administration to apply this unconventional approach. To make it convincing and enjoyable, I created a mini-game where teachers would play the role of students engaging in a simulated marketing project. Before the game, during the presentation, I put a lot of emphasis on how students could benefit from this and apply their theoretical knowledge to real-world situations.

Result: They appreciated my efforts and ideas and agreed to explore the possibility of collaborating with one of our local businesses. Eventually, we did manage to make it happen, and I learned how important it is to be relatable, creative, and fun when pitching new ideas.

Sample STAR answer to a question about initiative and ownership

Industry: marketing.

Interviewer: “Tell me about a time when you worked with little to no supervision.”

Situation: I worked in an internal marketing department in a marketing agency. We used to launch quarterly reports about industry trends and events that shaped the previous quarter.

Task: During a particularly busy season, the entire company was focused on client work. My coworker and Iwere left to write, design, publish, and promote the report without any help.

Action: We decided to split the tasks: I wrote the report, she edited it and added insights from industry experts we got in touch with. She designed the report, and I wrote the copy for the landing page and other promotional materials. Finally, we found a simple drag-and-drop page builder and created the landing page, connected it to our website and email service provider, and tested everything. Everything went pretty smoothly, and we managed to publish the report on time, as if nothing had happened.

Result: We got a lot of positive feedback from the readers. I realized I wouldn’t have been able to do it all by myself, and this experience taught me how important it is to work with someone you trust.

How to Prepare STAR Answers Before the Interview

Research the job.

You can’t properly prepare unless you know what exactly you’re preparing for. So you’ll need to research the job to understand what skills and competencies the position requires, and what kind of experience an ideal candidate would have.

Your best bet is the job ad itself. Read it carefully, and pay special attention to sections like “What you’ll be responsible for” or “Your duties.”

You can also check the company website — perhaps you can find the company structure there, and details about the team your potential position is in, as well as how it’s connected to other teams internally.

Check out the company’s social media and website for clues about company culture, as that can help you gauge what soft skills might be a nice addition to your experience and existing skills.

Reflect on your past

Think about your achievements that might be similar (or identical) to what’s expected of you in the job you’re interviewing for.

Think about:

  • Things you achieved on your own
  • Things you achieved with your coworkers
  • Your failures and weaknesses
  • Your strengths and interests
  • Lessons you learned from certain experiences

Then, think about typical skills that behavioral questions tend to explore. These are usually:

  • Communication
  • Problem-solving
  • Decision-making
  • Initiative and ownership

Then, connect the dots. What is your proudest accomplishment, and what’s the skill that helped you achieve it? What’s your biggest failure? What caused it?

Write down these ideas and details and include them in the final version of your answer.

Finally, connect your past achievements or duties to potential interview questions. Draw parallels between the skills and experiences you have and the ones they need. Find a way to illustrate how you can contribute to their company.

Common Mistakes to Avoid

Being too general.

Get specific in all the components of your STAR answer! Sure, you already know that the Action part needs to be the longest and most detailed, but don’t skip over important info in other components.

If a piece of information is relevant to the story, contributes to the context, and illustrates your experience or skills, include it.

Missing the point

If a piece of info doesn’t contribute to your point in any way — drop it. There’s no need to use irrelevant details. Although there’s no fixed limit to the length of a STAR answer, it should be long enough to provide only key details that illustrate your point.

If you’re having doubts about whether or not to include a detail, ask yourself “So what?” If you can’t find a direct connection to the story, skip it.

Focusing on the wrong story

A story that doesn’t connect to the job you’re applying for or that doesn’t illustrate the right skill is useless, no matter how fun.

Anticipate common behavioral interview questions, research them, and think about what skill(s) they’re trying to assess.

The situation from the question will reveal what skill they’re trying to assess (usually what goes after “Tell me about a time when”). Once you discover what it is, you can think of additional, complementary skills that would be nice to have.

Below is a list of common behavioral questions and skills they’re seeking to uncover. The bolded elements are the main skill the question is targeting, the rest are complementary, desirable skills to display.

Not preparing ahead of time

As we already said, preparation is key. Not preparing your stories and STAR answers in advance will seriously mess up your chances of landing that job for all the reasons discussed in the headings above: your answer will be messy, you’ll miss the point and tell the wrong story, you’ll sound unconvincing, you won’t be able to provide relevant detail, and you’ll probably get confused and start stuttering.

For this reason, anticipating the most common behavioral questions and preparing a few stories in advance is key.

Plus, a single story can serve you multiple times for multiple different questions.

Not to mention, you’ll be ready for job interviews that will come in the future. All it will take is just a bit of refreshing your memory.

Like any other framework, the STAR is the template to be adjusted and changed according to a candidate’s unique experience. If used lazily, it will produce inauthentic answers.

But if used properly, it’s just a way to create meaningful answers quicker and easier – not a tool for mass-producing manufactured answers. So it’s likely that the STAR answers this person heard from others and used themselves were not correctly made.

If a candidate has strong achievements, their STAR answers won’t be boring or predictable because it’s not likely that someone else managed to earn that amount of money, or reduced churn by that percent, and similar. So I’d say to focus on results and quantify them in the STAR answer.

From there, candidates are allowed to play around. I would say that reordering the STAR elements can be a fun way to stand out. For example, starting your answer with:

“I once saved $23K for my company simply by introducing a detailed QA checklist.” is a great way to hook the listener and make them want to hear more. From there, you can work your way back and explain how you did it and why it needed to be done in the first place.

The best way to get through them is to literally sit down with a Google Sheet and copy/paste STAR questions onto it and then methodically formulate the best possible answer for them. Don’t do this unless you want to get flustered and ruin your chances of landing a job. Interviewers can easily spot a canned answer, doesn’t matter if you’ll read it from a Google Sheet or learn it by heart. They might not comment on it, but that doesn’t mean you’ll get away with it.

A better approach here would be to focus on the stories and how you can adjust them to answer several different questions – not on individual questions and a canned answer for each.

So prepare several strong stories that showcase your skills and then adjust them to answer the question you get in an interview. If you prepare them for the key skills relevant to pretty much any position (teamwork, problem-solving, communication, analytical skills…), you’ll be covered.

You’ll have an answer to the question, you’ll know exactly what you need to say, but you’ll do a bit of improvisation to adjust it, which will prove it’s authentic and not scripted.

This is why preparing and practicing answers for these questions is crucial for informative, engaging answers and confident delivery.

How to use the STAR method if I can’t think of an example of a specific situation?

If you haven’t experienced the exact situation that a question refers to, think of a similar one, or analyze the question, figure out which skill it seeks to assess, and provide a story where you displayed a similar skill. If this doesn’t work, think of situations that share similarities or certain aspects with the question asked. If that doesn’t work either, create a hypothetical scenario that demonstrates the skills from the question. However, you’ll need to be transparent and communicate that this is a hypothetical situation. In the Situation and Task parts of your answer, briefly describe the scenario you’re using as a basis for your response. In the Action part, describe what actions you would take in a situation, explaining why you made that particular choice. In the Result part, discuss the potential outcomes or the expected results.

Yes, because your answers don’t need to be based solely on your work experience. To answer that question, let’s start with the barebones basics. According to Merriam-Webster , problem-solving is “the process or act of finding a solution to a problem.” Why does that matter? Well, because it gives you insight into what problem-solving skills are.
